How to use Wrike to manage a QA process for eLearning assets

Hello Wrike Wizards!

I use Wrike with my team of 5. We often use Projects, but sometimes just Tasks in a Folder are sufficient. We are experienced Wrike users---we use Custom Workflows for some of our work, and like to use the different views.

I have a new need and am conflicted how best to set up.

  • I have 26 eLearning courses.
  • Each course has a mix of video content, Text content, downloadable job aids, and Quizzes.
  • I need to have my team do an audit of all 26 courses to check for adherence to our style guidelines and to check for other errors (typos, dead links, etc.).
  • The audit has a total of 58 items that need to be checked per course.
  • I need a Wrike set up that is SIMPLE and easily tells us which of the 58 items are done.
  • Option 1: I could have one Task per course, and then use a Custom Workflow to track progress towards completing all 58 steps. But seems like overkill.
  • Option 2: I could have one Project that moves each course through the stages of Video content QA, Text content QA, Job Aids QA, Quizzes QA, Final approval.
  • Option 3: I could have one Task and link it to an Excel sheet that lists all 26 courses as rows, and all 58 steps as columns.
  • Option 4: I could have 26 Tasks and a list f checkboxes in each for the 58 items.

Which option--or another--would keep things simple but maximize the chance that all 58 items are being checked?

personally I use option 1.
I setup a project blueprint with a task for each course that me or my team need to follow.

I assign the Project and all task to the person who have to follow these courses.

Each task can have different Custom Item type (Video, Text, Jobs, etc), for task that need only to be followed I've setup a specific Workflow (To Do, In Progress, Completed, etc) and for Certifications Step I've a different Workflow.

I use then Status Group to see the overal progress for each project.
I know that can be overkilling at the beginning (to setup all activites) but:
1- you can move from today to another day a specific task if you need to reschedule
2- you can easily make a progress control in real time
