Import data to custom fields via Excel

I noticed that there doesnt seem to be a way to import tasks with data for the custom fields. having this ability would greatly reduce the time wasted on manual data entry and errors.

Import is usless with the ability to import data to customer fields.

Hi both, I can understand the need for this. Our Product Team is aware of the popularity of this functionality from Sarah's post. It would be great if you could let me know if this is what you're looking for. If so, please upvote and/or comment your use case there so we can keep all feedback in the one place.

If there's an update on Sarah's post too so feel free to follow that thread to get updates. Thank you!

Hey Stephen!

I believe this is what we're looking for:

I have a spreadsheet with columns and titles. These columns have text in them. I.E. one column for an Address, one column for the City, one column for the State.

When I upload this document, I would love for Wrike to be able to identify those columns, they type of input inside of them, and then create those columns and fields in the table view.

Does this make sense? I'd be happy to jump on a call with you if you'd like to dig in further.

I just realised that the lack of custom field import is a real blocker for our team. Populating a handful of fields manually is acceptable, but we are aiming for import of 50-200 to make proper use of Wrike. Whilst I found Monday.com not as flexible and rich as Wrike, their Excel import feature is incredibly smooth: You can import any Excel spread sheet. Before import, you assign certain columns to standard fields; any other column is then imported as a custom field that is automatically created on import. Missing standard fields are accepted and filled with defaults. Really cool. Please do something similar in Wrike!

Echoing Seb, I find that Monday.com makes the interface so easy that buy-in from our team wouldn't be such a hurdle, as it is with Wrike.

We could easily aggregate all of our various projects into excel sheets and essentially allow those teams to interact with Monday the way they have with their respective solutions because it would look similar and less intimidating.

This might dive into the UI side of things, but the cluttered look of things does tend to turn many users off.

However we all realize that such a powerful tool does need all of those functions.

So, in short, excel importing improvements would go a long way to increase the buy in by new teams, which would be a massive selling point for Wrike.

Thanks, Stephen,

I wonder whether the request that you linked is slightly different than the one in this current thread (also, it is industry-specific and can't easily be translated to other use cases).

I would see this order of request, with increasing complexity:

This thread:

1) One-off import of data from Excel spread sheets into custom fields (which are already set up in the specified Wrike project)

1.a) Import of tasks only

1.b) Also allow to import project-specific custom fields

2) Possibly: Creating new custom fields on the fly during the import, as discovered in the import spread sheet

The other thread:

3) Allowing to re-import and overwrite task/project data from Wrike-exported Excel files, after modifying/updating certain entries in that file, such that only the specific custom field data is updated, but other data such as attachments, comments, timelines, timelogs is preserved. (This would require a unique identification key for each entry to be exported. Otherwise: What if someone changes the order of the entries or deletes one after export? How to distinguish previously existing from newly added tasks)

Hi Seb, I've left this thread open for votes too as the one I linked does differ slightly. Some members here might be also interested in overwriting existing tasks Custom Fields via Excel so I wanted to mention it here 🙂

Our Product Team are very interested in automation and enhancing importing options so these threads have a lot of value. If I have an update on any developments here, I'll be sure to post back! Thanks for sharing 👍

Hi all,

it is weird that you can set up a trigger for new records in Zapier that will import xls columns into Wrike custom fields but you cannot do it with the Import functionality on Wrike itself !

Ciao

Yet another feature of Wrike that is so close to being on the same level, but just not there with all the other tools of a similar nature.

Every other tool that I have used has a way to import into their ticketing system with the ability to add custom column names for custom fields.

I am not sure why this isn't just a feature. It should be a matter of just adding a few lines of code again to loop through all columns or the xls file instead of just ones that match default attributes.

This, the ability to format a comment and a few other seeming very basic features, are missing that would make Wrike well worth the money as compared to its competitors.

@Wesley Duggan and @Seb M

If you want to import custom fields data from excel into wrike you can !

You must import into a wrike folder that is setup with the same exact custom field's that you want to import. If the wrike folder is not setup before import, then the custom fields data will not get uploaded.

This answers only Seb M #1 concern but not #2 or #3.

@Ilya - how do i do this?  I need to bulk import into existing custom fields..

@Sam Rykers,

First, before you start making bulk changes duplicate the folder you want to edit. In the navigation pane, right click on the folder and 'duplicate'. This is just for precaution so you don't mess up the original data by mistake.

Second, you want to export the table from which you want to edit in excel. Go to 'Table' view. In the top right corner (under your username) there are three horizontal dots. After you press on them, a drop-down menu shows an option for export/import. If your custom fields are set up already in wrike, just export the data to excel.

Second, manipulate the excel data on your computer as you wish, save under a new name.

Third, go back to wrike notice that the excel data and the wrike table your importing into should be on the same folder/subfolder level (i.e. same place you exported from). Press on the three horizontal dots, import your new excel table. This should overwrite your existing table and fill in the custom fields.

Good luck, let us know how it works out.

Ilya

My organization needs this feature as well, otherwise the cutover from smartsheet will be painfully manual!
