Employee Onboarding tips and tricks

Hi Has anyone setup employee onboarding in wrike - how did you setup, any tips, tricks etc would be helpful = were using wrike currently for projects and are looking at setting up a HR work space for employee onboarding and support

We've been running our onboarding through Wrike for a few years. Here are some things that have helped. 

  • Create an Onboarding user group to let your onboarding team know when certain items are ready - phone number, email, first day etc. 
  • We also have a task that is specifically to let everyone know when the new team member's email has been created. When it is completed, it sets off dependancy bots and an auto bot that reads "This new employee's company email has been created, you may now begin issuing logins" 
  • Make it fun. Kenny Logins is my favorite onboarding pun. "Please issue the following Kenny Logins: " 
  • I've noticed that when managing a project that touches on MANY different business units, easy access is key. We have no subtasks and our project will look the same (list view order) if viewed by title, priority, or date.

#1: 101 Welcome to Wrike 

Duration: 10 minutes

Course Description: Imagine you get into a Lamborghini, and you do not know how to drive. That is kind of how it feels to work in Wrike for the first time. You might ask yourself: What am I doing here? How do I begin? Will I screw anything up if I click this button? This is the place for you to begin your journey to Wrike mastery.

Objective: By the end of this training, you'll be familiar with navigating Wrike and have enough information to explore the Workspace.

What you will do...

  • Understand the building blocks of Wrike
  • Create, find, and do work in Wrike
  • Explore the views
  • Master the basics: task creation and communication

#2: 201 Control Your Email Notifications

Duration: 8 minutes

Course Description: Emails can help let you know when something's happened, but maybe you don't need to know about all changes. Can you turn off some email notifications or is it all or nothing? What happens if you change your mind and want emails later? Can you get notifications somewhere other than email? Let's fine-tune your Wrike email settings.

Objective: By the end of this training, you will be able to optimize your notification settings.

What you will do...

  • Edit and update your email notifications
  • Understand which notifications can be turned on/off

#3: 203 Use a Personal Space

Duration: 10 minutes

Course Description: Sometimes you need a place for yourself. A place to capture ideas and/or tasks that you need to keep track of. A place to store your ad-hoc meeting notes. Maybe you are working on a side project that isn't related to your team's work. This is exactly why there is a Personal Space in your Wrike account, and we will show you how to utilize the Personal Space to the best of its abilities.

Objective: By the end of this training, you'll be familiar with Wrike's Personal Space feature.

What you will do...

  • Understand how Personal Space in Wrike works and why it can be beneficial to use it.
  • Understand what type of subfolders and tasks to include in your Personal Space.
  • Learn how to sort tasks inside of your Personal Space.

#4: 204 Stay on Top of Work

Duration: 10 minutes

Course Description: Work multiplies. It gets piled on top of. One email turns into ten. A meeting results in seven action items. There are fires that always must be put out, not to mention your normal to-dos. Everything must get done...but how do you do that when it's a constant and overwhelming barrage? How do you manage your work instead of drowning in it? Answer: You organize and conquer. Set up Wrike so you know what must get done when it's going to get done, and who is going to do the work. Begin this course and start conquering.

​Objective: By the end of this course, you will be able to easily see what work you need to do, see the status of work you requested be done, and plan when to do work.

What you will do...

  • See and respond to ad-hoc work and updates.
  • Create a Dashboard to see all the work you must do.
  • Plan when to do the work you need to do.
  • Keep track of the work you requested to be completed.

I've created project templates for onboarding based on role with tasks that link to trainings (or require live trainings to be scheduled) and entries in our resources library. The process could benefit from more automation, though - I like the idea of request forms in this regard.
