We’d like to share Ali’s spotlight article 👇

1) Tell us a little about your role and industry.
I work in publishing, specifically in the prepress and production side of creating high-quality printed yearbooks. My role involves coordinating cross-functional teams (art, customer service, production, and management) to ensure that our workflows—from customer proofing to final file creation—run smoothly and efficiently. I also facilitate our production plant knowledge base which houses all of our FAQs and SOPs which is housed in Wrike.

2) Why do you/your team use Wrike?
We use Wrike to break down silos and streamline communication. Previously, we relied heavily on email, which caused confusion and information gaps. Wrike’s visibility into every task, combined with its collaborative features and reporting/analytics, has dramatically improved our turnaround times and overall quality as well as reducing mandatory overtime.

3) What were you doing before Wrike?
Before Wrike, we managed most processes through email threads and an internal server for files. That approach made it tough to keep everyone on the same page—especially when multiple teams and customers were involved. It also slowed us down and led to miscommunication on important steps like proof approvals. Each team had its own method of managing SOPs, some were literally using sticky notes. Having a standardized knowledge base in Wrike has made for more consistent production.

4) What is the top thing that makes you productive?
I focus on continuous small improvements—the “daily 1% improvement” philosophy. Wrike’s customizable environment and real-time collaboration let me make quick tweaks (like adding a new automation or refining a workflow) without waiting for a major overhaul. Those small changes add up to big productivity gains over time.

5) What process/setup in Wrike are you most proud of?
Moving our customer proofing process into Wrike was a game-changer. We built about 10 workflows, 5 intake forms, and around 50 automations. This single source of truth for all proofing tasks has cut our proof return time by 42%, reduced errors, and vastly improved communication—both internally and with our customers.

6) If someone was thinking about using Wrike, what would you say?
I’d say go for it, but plan your rollout with collaboration in mind. Wrike shines when everyone uses it as their central hub for communication, tasks, and reporting. The customization is powerful, so test thoroughly, involve your teams early, and keep refining. You’ll see productivity gains and fewer headaches across the board.

7) What value do you get out of the Community?
The Wrike Community is a gold mine of best practices, real-life solutions, and new feature insights. Whenever I run into a challenge or want to push Wrike’s limits, the Community is there with friendly advice and ideas I might never have considered on my own.

8) Fun question: If you had to be a Wrike feature, which would you be and why?
I’d be the Dashboards feature. They’re visually clear, highly customizable, and keep everyone focused on the right priorities—much like I aim to do in my role. Plus, a good dashboard can spark instant collaboration and problem-solving when something needs attention.
