Hi everyone 👋

We're thrilled to invite you to our QuickBooks integration beta! This integration is designed to automate and accelerate your invoicing processes by exporting time records from Wrike to QuickBooks, ensuring timely and accurate billing. It also enhances decision-making with real-time financial data synchronization.

Why QuickBooks?

Time tracking is the most adopted feature within our functionality for Professional services teams, showing a strong reliance on accurate time management tools. QuickBooks ranks among the top three ERP systems used by our customers and was identified as the most preferred in our recent Community survey.

What to Expect?

This initial beta focuses on engaging early adopters to gather feedback and fine-tune our mechanics. The integration provides solid core functionality for synchronizing the two systems, and new updates will follow every sprint.

Who Can Participate?

Any account starting with the Business plan can participate in the beta.

How Does It Work?

Manual Synchronization: Click the "Export to QuickBooks" button in the Timelog view, log in to QuickBooks, select from predefined filters, choose a client, and confirm the export.

Export with Wrike’s Automation: Set up an automation rule in Wrike with your desired triggers and conditions, add the "Export to QuickBooks" action, authorize, set filtering criteria, define client, and the selected time entries will be automatically exported to QuickBooks upon rule triggering.

Coming Soon

We're planning to add several more features, including a separate column in Timelog for the status of exports to QuickBooks, the ability to filter entries in Timelog for exporting, control over permission via custom user types to use the integration, and more.

I had our QuickBooks Admin connect Wrike with our QBO account, but it seems only a QB admin can export from Wrike. When I try to Export to QB, I get an error asking the admin to connect the app to QB.

The export works in two ways:

  1. The space admin has set up a rule - and now as soon as anyone triggers it, the rule will work and export on behalf of the space admin.
  2. Manual - always works on behalf of the person who calls the function. That is, if the admin has connected their account to QB, only they can use it and export on their own behalf.

Unfortunately, only a user with admin rights in QB can authorize in external applications - this is a QB limitation.

Hi Kathleen Kimm Wintress Odom, thank you for your comments. The beta program is finished and the functionality is available to all Pinnacle accounts.

In case you're on a lower plan, a possible suggestion would be to trial the Pinnacle plan to explore this functionality. If that's an option for you, please feel free to reach out to your account manager.

Thanks @.... This is a great start. However, with hundreds of time entries per day, our organization needs to be able to export multiple customers and service items at a time. We use a custom field in each task to track the service item, and a custom field to track the customer. If you could provide a table for matching these in advance, then this tool could meet our needs.
