📚 Releases - New automation actions, generative AI enhancements & New Dashboards updates (09/18/2023)

Feature Updates

Adding to our list of Automation actions, we've now included "Change location”. This option provides you with the ability to automatically add, move, or remove items from their locations. 

Not only does this new "Change location" action replace the older "Add item" and "Move item" actions, providing more comprehensive methods of item location, it also introduces the ability to remove items from specific locations, without having to completely move an item out of all its locations.
In addition, we've made an important update to the "Assign item to" action. This action has been enhanced and renamed to "Change assignee", with an expanded functionality allowing you to modify, add, or remove assignees.
This adjustment doesn't only include user assignees but also job roles, broadening the range of task assignment options. Addressing your feedback, we've now added the ability to unassign items from all or specific users as well as assign to job roles:
 
Another common scenario addressed is to remove all assignees when a task is completed:
  
As well as being able to use our generative AI functionality in item's descriptions, you can now also do so in comments!
 
Use it to change the tone for comments, translate them, correct spelling, and more, before publishing. Check out our Help Center article to learn all the details about this feature.
 
You can enable this feature right now in Wrike Labs.
 
We are continuing our updates on the New Dashboards, which are available in Wrike Labs . Our latest addition is the drag-and-drop feature, allowing you to conveniently move items from one widget to another.
 
Please note: for successful dragging and dropping between widgets, the task must meet the criteria set by the filters applied to the destination widget.

@... for the ad assignee action: what rights get the assignee of a project? Full? That would make it completly useless for us, as we have a specific project manager role that would be needed her.

I've been looking for a solution to automatically assign tasks to the author of a task (the person who created it). Author does not appear to be one of the options in this update. Sad day.

Could we have the same drag and drop feature but for a folder and projects under?   Meaning, if we are on a folder with several projects under, we would see the projects under each project status column.  We could then move the projects from one status to another by dragging-and-dropping the projects.  thanks

It would be very helpful to add two more options:

1.  Change the custom object type when a status is met within the workflow.  So something could start as a review request, then become an approval to perform some function.  For example a contract review can evolve into a contract approval provided conditions are met.

2.  Add an approval when a status is met and select the approvers based on data in custom fields.  For example contract approvers change based on spend amount and which department originated the request.  (I know we can assign static approver when a workflow status is met... and we can change the workflow based on some data, but that results in many different workflows, which compromises the task board).

Just an FYI, if you aren't seeing the generative AI after being turned on in Labs, you have to have Lightspeed enabled.

John Sexton Hi! I think you can achieve that, but it'd be a very manual setup process. You could have a rule for every person on your team. And set it so that when the new item is created, and the author is Jane, then assign the task to Jane. You could add additional conditions like only tasks in a certain folder or that had a certain status if you didn't want it to do that all the time. This would maybe work if you had a small team, but with a big team the setup would be intense.

Hi Marissa Lapierre, you could create a rule to automatically change the item status when its location is changed. Would this be an option for you?

 Hi Juan,

I am not sure I understand the process you are suggestion. I don't want to change a location but the status of a project.

Your new drag and drop feature in the Board view is to move a task between status.  

 

I would like to be able have the Board view on a folder with projects under and move the projects between status easily with the drag and drop feature.

@... the problem in rike is that Full access can delete things. Deletion means somebody can even by accident delete something and then you will forget things in a project. So not very safe. For this reason we have a status won't work if something is not needed (but it will not be lost). And all Wrike coworkers have only access roles without deletion right. Only exception is a very small group of admins. So if I can not set access role Wrike will become a much unsafer place. So this automation is useless if you have an eye on data safety.

Jessie Stith thank you for that suggestion! I didn't realize that was possible. However, I have a team of 10 and we have 20 or so custom item types. That is a lot to configure for each item type.

Much of what you described for changing assignee's what available in the list view with mass edits and much easier to do than setting up an Automation.  Will you you be adding all of the options in mass edit list view to the new table new before you sunset the list view?

John Sexton You're welcome! 

Yeah, it would take a bit to configure for your team for sure. Our team has about the same number of people, but not quite as many custom item types. I took the time to do it for us and I have to say I'm glad I did. Now it's easier for the team to enter items, but it's also easier for me as the PM to add items really quickly as new action items are being discussed in meetings. There's way fewer clicks during task entry so I can just hit that plus button and add a description quickly and it's done. 

It would be a lot easier if there was an option in automation to assign to the task creator 🙂

@... Thank you for the updates.  Perhaps I am overlooking a post, but how do we move the new dashboards from one space to another (this was available in classic view)?  We created an in-depth new dashboard in a Personal Space and need to move it to one of our team spaces.  We are unable to switch back to Classic view due to the new graphic style widgets being built out in the new dashboard view.  If we are currently unable to move the dashboards, can someone from the Wrike side assist if we provide the link?

Michael, I'm happy to hear that you started using new dashboards because of chart widgets, and sorry to hear that you cannot move them between spaces yet. Unfortunately, it's something that's not available yet, but the good news is that move/duplicate functionality will be added literally in days. I will let you know once it's available.
