[New to Wrike] Level Up Your Workspace with Spaces

Iโ€™m super excited to announce that weโ€™re rolling out Spaces to all accounts this week ๐Ÿ™Œ

Spaces is brand new functionality that helps you better organize your team's work. This new building block enhances everybodyโ€™s control and visibility into their workspace and resources.

Spaces enable your organization, regardless of size, to define and manage your departments at scale in a clear way so you can see exactly what you need to get work done effectively.

One big highlight is Bookmarks. Within these new tidy Spaces you can create Bookmarks which sit cleanly in your teamโ€™s Space and allow quick access to the items you need whether theyโ€™re items within Wrike, or external links.

I've spent a LOT of time re-configuing our hierarchy around spaces and have come up with a massive annoyance. The whole point reportedly of spaces is that each space can configure their space to suit their needs, yet all of the options on the List board that is default for each space is universal. So if you change show tasks in subfolders for one it changes it for all. If you change the sort order for one space, it changes it for all. This is one hell of a way to get teams getting angry with each other for changing each team's default view! Needs a fix ASAP IMHO as it goes against the whole point of teams having a space configured to their own needs!

This is an interesting concept, but one immediate annoyance is the inability to delete or modify the default personal space.  My users already have personal folders that they have customized for their needs.  The personal space is less customizable than the folders we already have.  You can't rename it.  You can't change the icon.  Either let us get rid of it, or let us actually personalize it.

On Business edition, is there a way to prevent users from assigning any available workflow to their personal space?  Certain workflows are setup for specific automation. I donโ€™t want random email notifications/info being sent to departments by someone playing around in their space.  Any ideas?  I want to disable this Personal Space, but from info in this thread that is not possible.

It would be helpful to be able to collapse/expand spaces and set a default view.  When expanded, the spaces take up a lot of the work space and leads to endless scrolling.

Totally agree with Meshelle!!! Please, and Expand all, Collapse All would be a HUGE time saver. I have 12 spaces between my own and those shared with me. Takes me forever to Collapse/Scroll to find the ones I need to see.

Adding my thoughts...

Wrike folk - You rolled this out poorly.  ๐Ÿ˜ก  There should have been a lot more warning before adding such a core feature change, which would have given you time to sell us existing users on it's benefits/purpose.  It was a rather large peekaboo.  And I even knew it was coming.

What's a space? 

Fundamentally, it's just a special kind of folder.  It behaves much like a folder, in that it can include other folders or tasks.  Unlike folders, it CANNOT be embedded within other folders, so it'll always stays in view, up at the root level of the left-side hierarchy.  Other differences are more apparent, such as... the the icon, ability to assign admins for the space, bookmarks, and ability to 'assign' reports to a space, etc.

Why use a space? 

I would think team-based situation is the obvious use case.  A certain team gets a space, to quickly find things they care about, which may otherwise be buried in a more complicated folder hierarchy.  That hierarchy is probably there for a reason and needs to remain, so this gives a quick way to give a team a home-base to cut through some clutter. 

 

Feedback on Spaces

  • Overall, this is a good new feature.  Needs a bit of tweaking though.  
  • If you have a small organization, your folders are probably simple, and you probably wont see the need for spaces. 
  • If you're in a bigger company, it'll be more apparently useful, such as my use case.  Again, it was rolled out poorly, and this benefit was not immediately apparent. 
  • I dont like the bookmarks added to the folder heirarchy panel.  That left side is getting a bit nuts.  I'd prefer you manage your bookmarks either (A) directly from the space settings menu, although only space admins could be in control, or (B) open the bookmark settings page as a popup, accessible from the list view, near where bookmarks actually appear.
  • Allow spaces to roll up, just like the "starred" grouping does.  Keep things separated. 
  • On that note, but unrelated to spaces... but I'd like to see blueprints and recycle bin separated a bit from the main stuff.  Again, that panel is getting a bit nuts.
  • As others have said, allow the PERSONAL space to be configured better, if it can't be deleted
  • Could we use the same SPACE icons for the individual bookmarks?   That might give people the splash of color that wrike desperately needs. 

 

On the UI overall:

5 years ago, Wrike had the least scary UI out there.  But Nowadays... When I onboard new users, I can feel the hope draining from their souls.  Wrike looks intimidating.  For most, their soul refills after some training.  Some UI tweaks would do wonders!

One competitor stands out IMO, which rhymes with FlipUp, which does a great job of keeping the UX more "friendly" at first glance.  In particular, their list view is what I've been asking for in wrike since 2015!  I've demo'd many others... I've forgotten more than I can remember... but any tool with rich features will have a learning curve.  But some just are nicer to stare at all damn day.

For starters, wrikes UI is very inconsistent across various views, which is disorienting, and makes the learning curve spike upward.  I'd love a sprint or two in your roadmap, dedicated to streamlining and cleaning.  Quit adding shit!  #BrokenRecord

I have not heard about Wrike Discover.  I just took a peek.  My initial thoughts are... I'm not even remotely interested in "enrolling" in wrike courses, nor for people I onboard.  In fact, it's perfect evidence supporting my criticism...  If your product needs an entire learning platform dedicated to it, you should instead be taking a hard look at UX usability.  To quote a new user from yesterday "Wrike scares me"

Plus, it's just 1 more thing being added, rather than smoothing wrinkles in the existing set of features. #BrokenRecord  If anything, a WalkMe type feature would be better, accessible from within the Wrike Assist panel in the browser app (which I really like, btw).  But even that, I'm on the fence.

Sorry to be a debbie downer ๐Ÿ˜• I've been a user since 2013 (that's like 1,000,000 wrike-years) and my perspective predates Projects, sub-tasks, custom fields, MyWork, the wrike Inbox, and pretty much every feature besides tasks and folders.  So, as a loyal user, my goal is to be constructive! ๐Ÿ˜Ž

As for Wrike Discover, it's not uncommon for software companies to offer courses/academies etc. Many Wrike users have actually found it really useful, especially for onboarding. But of course, it's up to you to use it or not ๐Ÿ™‚

Good gracious, Wrike...hire Sam Hersee right away. I've just been given directions to implement spaces in order to make Wrike more user-friendly before a new employee starts, and all it looks like to me is that I've moved a duplicated some folders from "Shared with me" to a higher level and give them icons that are not really distinguishable from one another on a 15" laptop screen. The small amount of organization Sam Hersee applied to the left menu makes it infinitely more user friendly than what I'm currently staring at - and what am I to do with all of those folders that were converted to spaces? Should they not have just disappeared, melted into the spaces they became? The fact that they didn't just introduces more confusion into the mix.
