Archival Beta ๐๏ธ ๐ข
Afixado Em destaqueHi folks ๐
We have exciting news for you today!ย
Some of you may know that our team has been working on the archival feature, and we're thrilled to announce that it's now ready for beta testing! ๐
Hereโs how the archival beta works:ย
- If you are a space admin, you can archive your space folders and projects where you have full access.
- The archived structure and all its child items completely disappear from everywhere and are only shown in the archive folder of the space where they were archived.
- Archived items donโt impact space performance, no matter how many items your space archive contains.ย
- Even if parts of the structure were located in other parent items, they will disappear from there as well.
- When unarchived, everything returns to "as it was"
- While archived, no one can edit the archived items.
- Any space admin can unarchive it.
- Structures that are in the space archive: the top level of these structures is shared with all space admins (current and future). Further sharing is inherited according to regular rules. This ensures that as long as there is an admin in the space (and there is always one), there is always someone who can unarchive everything in the space archive.

Hi Lisa - I am not seeing the function there when I tested today
I've been using this feature since monday and for the first time I needed to unarchive something. I dislike having to unarchive the entire parent folder when all I need is a sub folder within that. Is there any way to unarchive a specific subfolder or project?
When will this feature be available to the business plan? We utilize Wrike for proofing creative assets, and would love the ability to archive files once they are completed.
Hi folks, thank you for sharing your feedback!

How does this impact ability to report on items in the archive? For instance, if we archive projects from Q1, will that data be reflected in year-to-now reports we run for the space or would we then need to have a different one for archived items?
Bryan Whitson That's a GREAT question! I was just about to start using a separate space for our Archived items since we could use automation for moving projects to another space, but you just reminded me that doing so would absolutely impact reporting. I'm curious to see how following the new archiving will impact reports as well.ย
Hi folks, thank you for bringing this up!
At the moment, archived items are not visible in reports, but our team is planning to support it. It would be great if you could share more detail on your use cases, like when you would need the archival items to be visible in reports, so I can share your feedback with the Product team ๐

Lisa the use case from us is very simple and I think the normal working:
a project is finished during the year. At the moment it is transferred to a seperate space. Reports (time of people, costs, ...) always work on our working space and the archive space. Reason is very simple: time reports and cost reports still need the information. Working and time booking is not allowed in the archive space, but we can see what was in the past.
Thank you for sharing Sven Passinger, I'm sending your feedback to our team now ๐

Like Bryan Whitson wrote in a previous comment, we need to be able to base year-to-now reports on data from both the active projects and projects archived in a separate space. We have been running a custom archiving solution with a separate archive space for couple of years already, and found immediately that managers need year-to-now reports with data from both the active projects space and archive projects space.
Sounds great, thank you Lisa

Thanks for your feedback Tuomo Suominen!
