Automating task status--when a project is cancelled change all task statuses to cancelled also
I'm trying to create automation so that when a project status is changed to Canceled, any tasks that aren't already marked as Canceled or Complete are also marked Canceled. The goal is to stop Users from receiving notifications of overdue tasks when the whole project has already been canceled but there are still pending tasks in the project.
Hi Gail Covert, welcome to the Community 🤗
This isn't currently possible to do, so what I can do is move your post to our Product Feedback forum 👍

Yes I would like this too! Also if we could have a similar automation for when a project is put "On Hold" that the tasks go "On Hold". For this one, we would also need the reverse - if a project moves from On Hold to some other "active" status, then the tasks would go to an active status too.

@juan and @lisa - is it possible to do this with the new automations. I'm struggling to set this logic up even with all the new automation options.
Hi Sus Scott, thank you for reaching out. These are the steps you'd need to follow:
1- Create a rule based on projects.
2- Select the trigger When status changes to and select All canceled:
3- Select the action Change all direct task subitems statuses and select the Canceled status:
That should be all! Please, let us know if after trying this solution you have any additional questions, we'll be happy to help!
@... Hello! I'm testing out an automation with 2 actions and followed your steps, but it's not working. Only the first automation works (changing project name). Can you help?
Hi Yeimi Vasquez, welcome to the Community. Thank you for sharing your question with us and for including a screenshot, that is always very helpful 👍 Could it be possible that the condition you added is preventing the tasks from being reached by the rule?
Please, feel free to share all the settings of your rule so that we can provide you with an accurate reply 🙂
I have just re-tested the example I provided and the rule works as expected: when I change the project status to 'Canceled', the tasks included change their status to 'Canceled' automatically.
@... I;ve tried to set-up a rule as you describe - all steps work expect the setting all sub task statuses to Cancelled. Can you see anything wrong in the automation rule?
The breakdown is as:
Then :
Then:
Then the email instructions (and the email works) except the square brackets are left on the Assignee field
Other fields don't carry the [] onto the email.
Any ideas?
Hmm I'm not sure Nicky Cox, so I raised a ticket for you with our Support - they'll look into this and get back to you 👍
