Custom admin pop-up notifications
Hi all,
I wanted to propose something that doesn't quite exist for users, but that would be SUPER beneficial for all Wrike users and especially admins.
As the main admin on our Wrike account who is constantly working with teams to update/build processes, create/edit request forms and blueprints, etc., I'm finding it challenging at times to inform users of changes or new processes. Now, before someone suggests sending an email, creating a channel on Teams (or any other messaging app), or hosting a call to share these types of announcements, let me tell you this: many emails and Teams messages go unread and folks don't always show up to your calls (let alone watch the recordings), and I get it - people are busy!
This is why I'd like to suggest a new kind of feature; one that allows account admins to share updates to their team IN Wrike, so people can acknowledge these important updates directly in the platform they are using, when they are about to use it. It would allow us admins to disseminate information and for our users to be, in a way, forced to acknowledge them.
The format I am imagining for this would be similar to the little pop-ups that we are used to seeing in our screen corners already in Wrike that Wrike puts out for things like quick surveys/feature feedback, What's new in Wrike announcements, etc..
Allowing us admins to use this same type of popup for custom messaging would help us communicate information to our users about their account in a way that is less likely to be ignored. If we want to get fancy about it, other features I would suggest for this is:
- Allow for rich formatting in the text
- Support simple images/GIFs, hyperlinks, etc.
- Allow for custom targeting based on user group, for example
I would love to be able to do something like this and I hope others see the benefit in it, too :)
Hi Anna Giacobbe now that is a BRILLIANT idea! Like you I have struggled with getting my users' attention through the normal channels. I have stopped taking it personally when someone asks me about something that I emailed them about weeks ago :-). Having the option to create custom popups would be incredibly valuable. I've upvoted this request!
Yes and upvoted! Great idea! Custom targeting based on user group, job role, and user type would be ideal.
Pop-ups would be a nice way to get info to all users. We currently have a current task dashboard that is available to all users that has a News section in to. I created a News CIT and post weekly updates.. I am not sure if it gets read, but at least it is there to see anytime the dashbaord is open.
Hey Phil Taylor!
Thanks for your support :) I totally get you - I also stopped taking it personally, lol!
Something I didn't even know I needed until I read this post. This has my upvote!
Anna Giacobbe I LOVE this idea. I've already run into this with people not reading the Slacks and Emails I've sent. Having a pop up that they need to confirm they read would be very helpful
Hi Anna Giacobbe,
I support your idea, but I'd like to add something quite important. For now, every wrike user receives popups controlled directly by wrike to introduce changes, new features, and even kind of advertising. Wrike should give us (the admins) full controll eveon of those messages. I want to decide which of them are helpful, and which would be just confusing.
Without this control, your own popup notifications could be also seen as unwanted spam and get ignored.
Florian
Thanks for your support on this idea, all :)
Russell Sprague that's a really cool idea/workaround! Never thought of that :)
Florian Kislich I see your point. I personally don't get many popups from Wrike themselves (maybe once a month?), so I'm not sure how spammy it would seem to have our own notifications, but I do think that as you mentioned if we can control those and our own it could make a difference in how they are interpreted/received by the end users. Admin notifs can also look different so they are not easily interpreted as just another message from Wrike. Just ideas :) Thanks for your input!
Thank you for sharing this idea, Anna Giacobbe, and thanks to everyone for sharing their thoughts! It sounds interesting and very useful. I’ll make sure our team sees this. 👍🏽

This is a neat idea! I also feel like people either miss or don't read my Wrike announcements in Slack.
Anna Giacobbe, your idea just sparked a bit of a workaround/MVP solution! Utilize groups to @mention all users so it shows up in their INBOX as an unread message. To me, that would be more helpful because a lot of people see a popup and default to immediately closing it because it's a distraction/annoying. So just create a task, put the Wrike or process update info in the description along with any links, attachments, etc and @mention everyone in the comments to get their attention. If you (or anyone reading this) have already tested this idea please let me know how it went for you!
Hey Daisy Hibbard - thanks for sharing this!
I think that's a neat workaround, but to play devil's advocate, a potentially similar thing happens on my account to what you said about people dismissing popups:
Many of our users complain that they get too many Wrike notifications - their Inbox usually shows 99+ and they also complain that everything comes in as both a Wrike inbox notif + an email. This means that they often neglect their inboxes.
Still, I think it's a crafty way around it! I do think that it would be great to have different features available to us so that it gives us admins options to choose what works best with our users :)
Hi Anna Giacobbe
I would dearly love to know whether Wrike has any telematics on this as nearly every one of my users is in the same position! :-D
