Leveraging Wrike's Task Automation to Streamline Project Workflows

As a Wrike user, one of my favorite features has to be Task Automation. It’s been a game-changer in terms of reducing manual work and ensuring that our project workflows are as seamless as possible.

For example, we used to spend a lot of time manually assigning tasks, setting due dates, and updating statuses. But with Wrike's task automation feature, I’ve been able to set up rules that automatically assign tasks to the right team members, update the status based on certain triggers, and send notifications when certain actions are completed.

Real-World Scenario: In one of our ongoing projects, I created an automation rule that automatically assigns tasks to specific team members as soon as a request form is submitted. Additionally, when a task is marked as “In Progress,” another rule automatically sets a due date reminder three days before the deadline. This has reduced our project delays and allowed us to stay on top of deadlines without extra manual oversight.

Not only does this save time, but it also ensures that everyone on the team is aware of their responsibilities without requiring constant reminders. It’s been a huge productivity booster, especially when managing multiple projects simultaneously.

This feature has truly made a difference in how we handle task management—making everything smoother, faster, and more efficient.

How do you handle exceptions to the rule?  Say, two team members have a conversation about a task that is normally done in three weeks, however this time there is a discussion about the responsible team member will not be able to do it in that timeframe because, say, a federal guideline is late being released.  Extraneous Wrike notifications are the reason why a lot of people turn off paying attention to Wrike and it sounds like the team member will get this notification anyways unless the person in charge of the project turns off just that reminder?  We have a relationship based organization so when these kind of things happen, they lead to a lack of credibility in the system.
