Create Sharepoint Folders with Workato

Hello,

We work with many outside vendors and house our documents in an external Marketing Sharepoint site. I'm curious if anyone has implemented a Workato integration with Sharepoint where folders are auto-created when a new project is created in Wrike? If so, I'd love to hear best practices.

Here's a streamlined approach to guide you through the process:

Establish Your Trigger:

  • Select "Wrike" for the trigger app.
  • Opt for the "New event" trigger for enhanced specificity compared to "Project created/updated":
  • In the "Folder name" field, you can choose a specific source if you wish to apply the recipe to a designated space or folder. Leaving this field blank will allow the recipe to encompass the entire account.
  • Consider setting descendants to "Yes" to ensure subprojects are included, which is particularly useful if the recipe is applied to a space. Without descendants, only top-level projects will activate the recipe.

Introducing conditions:

  • In Wrike, folders and projects are treated as identical entities. Thus, the "Folder created" trigger will respond to both folders and projects.
  • If you need the trigger to respond solely to projects, introduce "Get folder by ID" as your initial action. This will fetch additional descriptive data, enabling you to set precise filters.
  • Map the "Folder ID" to the trigger. In the "Folder ID" section, the default setting is "Select a folder." You'll need to modify this to "Enter a folder ID." Once adjusted, map it to the "Folder ID" provided in the trigger's output. The application will typically guide you through this with a prompt.
  • Implement an IF condition, such as Custom status ID = present, to ensure the recipe exclusively targets projects, as statuses are unique to them.
  • Feel free to add more conditions to tailor the recipe to your specific needs.

Define Subsequent Actions:

  • For the "Yes" path of your condition, select SharePoint as the app:
  • Select "Create folder" for action and then complete the "Setup" section:

Hi Herine. Thank you for this in-depth explanation! It's a wonderful start for me. Two additional questions for you. 

  1. Is there a way for me to have every project create two additional subfolders of "Creative Assets" and "Final Files" in the main parent Sharepoint folder? 
  2. After the parent Sharepoint folder is created, can Workato populate a custom field WITH that Sharepoint folder link?

Maybe both of these would be considered additional Connections as part of the integration? Would love to hear your additional thoughts. Thank you again for the valuable feedback!

Hi Herine and Jessica Kvanvig this is super interesting and could be the trigger for finally persuading us to go with Wrike Integrate! An answer to Jessica's second question would be incredibly interesting to me too! 

Our use case would be something like this:

1. Project is created in Wrike

2. Workato recipe takes project name and creates corresponding named folder in SharePoint

3. Workato recipe takes project name and creates a word document in the named folder (bonus points if this can be a template copied from a separate location and renamed)

4. Workato recipe creates link to word document in Wrike project header

Can the above be done?

When setting up the "Create a folder" action, you need to specify the parent folder. You can create another action, and use the "Server Relative URL" from the previous step, that way you'll create a subfolder:

 

If the recipe should not stop there, you can add more actions, for example, update the project in Wrike. To set up this action:

  1. Map "Project ID" to "Folder ID" from the previous step.
  2. Find your custom field in the "Fields to retrieve" dropdown.
  3. Expand the "Custom fields" section. It will display only the fields you specified in the "Fields to retrieve" dropdown (if you don't select any fields, all the account fields will be shown, so it's recommended to limit the output).
  4. Select "Enter a value" in the grey dropdown on the left, and add the folder URL to the value box. You need to use the step where the first folder (parent folder) was created. You can use other output values if needed (I used URL from Metadata):

Yes, that is definitely possible. "Folder name" is one of the setup options in the Sharepoint action, you can use "Title" from the Wrike action for it:

You can add more steps afterwards and create a new document in Sharepoint. If you want to copy an existing Word document, that's going to be even easier since you can use the default action "Copy a file". You need to select the file and the original parent location, then map the new location to the previous step that created the folder. On the screenshot below, I also used the project's name for the file's new name:

As for the project's title, it can definitely include the link. In my reply to Jessica above I showed how it can be added as a custom field value, but you can update other fields (including title) too.
