Board view

I recognized the new board view and I really appreciate this function. Was looking for it for a long time! Thanks a lot!

 

However it has not yet the functionality needed in my point of view for productive work.

- The cards should be moveable so that it can be sorted for whatever priority defined by the user. In my example I would like to move upwards the cards with highest priority. In the moment it's not even logically sorted. Cards that have to be finished first are below the once which should be finished later and vice versa.

- For each task status we have a column... which is basically ok. But we have status that are not relevant for the board view and make it very crowded (e.g. canceled, postponed). It would be very helpful to have the visible status configureable

- In the moment you can't drag'n'drop cards from one status column to the other. You have to open the card and change the status to make it move to another column. That's very unhandy.

 

Really looking forward to next generation of this great view!

I wanted to mention that the first and third points are already possible in this view - you should be able to move cards up an down within one column, as well as between columns to change their status. I'm opening up a Support ticket on your behalf so that our team could help troubleshoot this further and find out why the cards aren't moveable in your case. You should be getting an email from the team shortly. Let me know if you have any questions!

I am also very happy! I waited a long time for the board mode!

This was the main reason for our move from wrike to trello.com.

In trello.com, everything is very convenient. There you can work on SCRUM and KANBAN. So I was very happy when I saw you KANBAN-board! But the functional is still very limited.

  1. I can not add my lists.
  2. I can not rename the lists.
  3. I can not sort the lists.
  4. I can not edit the task card quickly.

I look forward to the development of this functionality, then we can completely go back to wrike!

I also can not do list operations. For example, I can not delete all the cards at once, but if there are hundreds of them? Do you want to delete them individually?

You need to be able to archive all the list cards at once.

I can not display a board with all "projects". I would love to use a Kanban-Board for Project Portfolio Management (for overview; prioritize and so on...).

Workaround with an additional field in spreadsheet and building a custom dashboard is also not possible because the filter doesn't allow me to filter projects.

I have recognized similar problems... but only for some user accounts. Some of my colleagues can use the board view for all projects while other can see the cards on board view only for a single project. I already checked and all have exactly the same account type (collaborator) and are member of the same group for which the project are shared.

No idea yet what's the difference!

To prevent misunderstanding: I don't want to have a board with all cards / tasks of different projects.

@Marcel, thanks for sharing this idea! You're right, Boards in Wrike are available for tasks only, but I'm interested in learning some more about the parameters you would want to see if Projects were included too. Since this Board is based on statuses, would you simply like the possibility to move Projects to different statuses? P.S. I really appreciate the screenshot!

@Alexander it sounds like some of your team members haven't enabled the option to "Show Subfolders". If that's the case, they'll see tasks only from the parent Folder, and not Subfolders. Here's how to turn it on:

Hi Anastasia! I would use the Board for Project-Portfolio-Management, therefore I would need the following setup:

  1. Cards with the name of the Project
  2. Arrangement based on status (also customized status possible to work with different workflows; like "approval required", "approved", "in Progres", ...)
  3. Drag and drop within a column (to prioritize) and also among multiple columns (to change status)
  4. Project Manager / owner (picture) on the card
  5. Due date on the card
  6. Maybe something like labels (to show what kind of project it is) on the card

If you need more inspiration, we all know Trello which is in my optinion a pretty good tool for what I'm looking for (in addition to the functionality of wrike).

Is there functionality to sort tasks within boards by due date? The auto-sorting seems random. Can you explain the hierarchy that is being applied?

@Vanessa, welcome to the Community! Cards are sorted by priority, this same order can be set in the List View. Cards can be dragged and dropped to the required location, and since the Board View is used for tracking and changing status, sorting by date isn't currently an option. You can choose between sorting options such as priority and date in the List View:

Dear All

We are using Board View for our workflows of Approvals, Engineering, Industrialization, Sourcing, ... for our projects.

We had already setup our Custom Workflows within Wrike.

With Board View, we have now setup a folder structure with two roots (see attached picture) in order to manage projects from the "project" point of view, and work with boards (visual management) from the workflow/process point of view.. 

Note that folder "CUSTOMERS_STRUCTURE" is "tagged" within the folders of the WORKFLOWS structure in order to be able to "see" all the tasks of a particular workflow belonging to the CUSTOMERS_STRUCTURE. 

We have to enable "show subfolders" option in order to see the tasks within Board View because they are actually located "tagged" within their corresponding Client/Project structure. As long as tasks belong to the their corresponding projects, tasks visible within Board View are "tagged" with their corresponding Project.

With this folder approach we plan within Project Structure, but we have an additional "point of view" structured by Workflow that is very helpful because certain workflows are controlled by certain people/departments.

As long as tasks can have subtasks, and subtasks can have different workflow of their parent task, we need subtasks to be visible within Board View, otherwise we loose control of work divided within subtasks. We have issued Customer request #418824  requesting this feature within Board View.

Dear Anastasia, 

Just for clarification of the issue  #418824 where we ask for subtasks to be visible within Board View.

Find attached 2 screenshots explaining the issue.

Screenshot 1 -> List View works fine, subtasks are visible/filtered depending on their status.

Screenshot 2 -> Subtasks are not visible within Board view, therefore relying on Board View we miss the work corresponding to the subtasks. Note that subtasks may have statusses of different workflow of their parent task, therefore the risk of missing work of the subtasks is high, unless they are visible within the corresponding Board View.

Looking forward to the earliest resolution of this issue.

Do you mind sharing, in your opinion, what would be the best way to represent subtasks in the Board View - do you think the same representation as in the List View would be convenient for you?

Dear Serge
In our opinion, in Board View, subtasks should have the same representation as normal tasks, and should be visible by default in the corresponding column of the Board. This means that same representation as in List View is not convenient because we have to "unfold" each task in order to see the subtasks.

Secondly, a plus would be to add a “parent task title section” in the top of the card, with small text size in a similar way as it is in “Detail view” of subtasks.

Finally, in case that Wrike considered that visibility of subtasks should be switchable by the user, we would like to have an option in the dropdown menu next to the Show Subfolders option.

As continuation of the last post, if it helps, we think that a possible quick effective solution to show subtasks in Board View could be a "switch option" that made Wrike to consider ghost tags as normal tags in Board View, and, that's it!

Find attached another screenshot of the previous Use Case where we have manually retagged the subtask "Task 25 - sub1". It is now visible in Board View, as it should be! We kindly request Wrike to behave this way automatically.

This solution and proposal by Miquel Brunet is really nice. We were considering abandoning Wrike until we found this and the usefulness of the Boards. It's not overly obvious to non-power users of Wrike what is being said here by Miquel, so you may want to consider expanding on this explanation and demonstrating in your post: https://help.wrike.com/hc/en-us/community/posts/115000079225-Ghost-Tags. It would demonstrate the usefulness of Ghost tags as they make the Boards a truly viable and powerful option in Wrike.

Tom, thanks for the link to an explanation of ghost tags. Miquel, I think you've proposed a good solution. I'm in favor. I manage a creative design team. Currently we've developed a workaround to not having subtasks in the boards by making each of our deliverables a project (which we can then nest in other projects or folders as needed), and each phase of that project a task that steps through the workflow. In our case this would be writing, design, etc. moved through a series of drafts (the workflow). Having subtasks in the boards view would allow us to breakdown tasks a little more and give us the option of adding multiple people to a task, say reviewers of a script or design version. I'm not sure though how you would show subtasks moving through a different workflow than their parent task, but I'll think on that. Any ideas?

@Tom I went ahead and updated the post to mention the Board View. Miquel had requested that edit as well, and I appreciate the feedback. 

@Matt Hi there, you can apply different workflows to subtasks (I think you already know this, but putting it here just in case someone doesn't). To give a subtask a different status: click the subtasks status, hover over the name of the workflow you want to use, and then select the appropriate status. Then, you can control which workflow is being used for the Board View. Scroll to the view's far right, click the toggle that appears after the last status, click the dropdown next to the current workflow's name, and then select the appropriate workflow. The only thing is that you wouldn't be able to see tasks from two workflows side by side. If you did need to see two (or more) workflows, then I think Dashboards and Custom Widgets might be a better option. You could create a widget for each status you need to monitor. Let me know if you haven't used Dashboards before, we can go into some more details around those!

New here... first post in the community. This discussion is really interesting, and I'm sure as I learn more and use Wrike moving forward the community will prove invaluable to me.

Background: We are going live with Wrike today. My team (marketing & communication office at a university) consists of designers, writer/editors, photographers, videographers, social media editors, and web managers. We only use Wrike with our internal clients (admission offices, academic departments, and student support/business offices) who use a request form to start projects (from as simple as fixing a typo on the website to as complicated as a course catalog, marketing campaign or new departmental website).

I've set up project templates and attached them to the request form, so most of our projects start out with multiple tasks in them. Our designers often have 10-25 projects assigned to them at any given time and viewing this in Dashboards is really making them panic. I'm working on defusing the panic, but I see their point...

I'd love to see a way to have the Dashboards display projects rather than tasks -- either now, or in a product roadmap for future release.

My thanks to everyone. This generous sharing of how to do things gives me great hope for our office and using Wrike.

Hi, Monta, and welcome! We just rolled out Wrike about 6 weeks ago. I'm struggling with the same thing you are (we have a very similar setup). Our dashboards/task views are just super overwhelming, unless we're looking at a single folder (because of the templates, many of our tasks are labeled the same thing—design, edit, content review, etc. I've considered switching our deliverables from Projects to Tasks, but that can create a problem with the reports. Yes it would be nice if you could view the same assets in both dashboards (including the different views, like the Board view) as well as reports.

Hey Matt, and thanks!

I was released from most of my other work (Director of Website) during our Wrike implementation so I had time to play with it a lot before building it out for my team. I tested both having new requests come in as Tasks and as Projects, and found Projects worked better -- except for the Dashboard issue.

I'm hoping that I can successfully lobby for a project dashboard option... in the meanwhile I'm working on user adoption like crazy. I rewrote the Wrike supplied onboarding to fit our model and trained my last person yesterday.

I expect I'll be able to contribute more to the conversation after we've been working in Wrike a few weeks.

And I have great news - adding the ability to see Projects on the Dashboard is on our roadmap! It's early to share any time frames just yet, but I'd encourage you to go ahead and add +1 to this post to increase its priority.

In the interim, I'd highly recommend trying Reports, which in addition to tasks allow filtering Projects too.

I know it's still in development, but do you know if the plan is to make Projects viewable in the Dashboard only, or would we have the ability to see only projects in the folder views (List, Board, Stream, etc.) as well? I ask because I'm contemplating re-structuring our account from Deliverable = Project to Deliverable = Task. There are just so many great views of the tasks, and I feel like this is the way Wrike was designed to work.

I am weighig in on this discussion in support of Marcel Schuler's comments (April 2017) about a project portfolio capability.  I have edited his list, clarifying a couple of important points (to me).

  1. Cards with the name of any project Project that meets the filter requirements (subprojects available with a ">" click.
  2. Provide customizable project statuses
  3. Project Manager / owner (picture) on the card
  4. Start/Due date on the card
  5. Categories or Tags

This would allow control from project proposal through completion.
