Wrike Delegate - Approval Clean Up

Our organizational process is review/approval-heavy. I love the Approval feature in Wrike and want to make it the cornerstone of our internal process for documentation and scheduling purposes.

Sadly, we have one lynchpin executive who is slow to adopt Wrike for communication purposes and still depends on email for just about everything.  This means he leaves Approvals open in Wrike, wasting away on Dashboards indefinitely. While moving him into Wrike for communications is the end goal, during this transition time, keeping Wrike as clean as possible is necessary for team morale and to build trust in the system.

Here are my issues/questions:
1. When we move the task into the next phase of the workflow, the Approval is automatically cancelled.

2. Is there a way I can "delegate" a user with the Approval power of another user? I could imagine this would be very helpful for executive assistants of people who do not live and breathe in Wrike like the rest of us.

Hi Sara,

I remember a similar request some time ago. Here it is, maybe you'd like to add your support there also!

Sara Gonzales Hello! If these approvals generally all occur in the same folder/project I would recommend setting up a custom access role for the person you want to delegate with approval power you're referring to. You would use the advanced sharing setting in the folder/projects sharing settings and give everyone an access role which doesn't have the "edit others' approvals" checked. And then the individual who is allowed to modify an approval not assigned to them would have a different custom access role which has that same box checked.

Hope that makes sense?

Hey Sara Gonzales

Regarding your first question, I was not aware of the automatic cancellation. I haven't been able to find any support articles confirming that, but please share anything you have as I would want to learn more one.

For the second question - yes, Wrike does offer the ability for a user to login as another. You are on the right path here with the executive assistant idea. So long as they are an account admin then they can assume the access of the executive and weigh in on the approval request. Information on this process can be found here: https://help.wrike.com/hc/en-us/articles/115004551205-Logging-In-as-Another-User

Let me know if this solves the problem? Good luck!

why not just add another approver?

Shane Karolyi i would heavily advise against this for a number of reasons but the biggest one of all being, one must be an admin in order to assume control of someone else's account. That's way too much of an overkill to solve OP's issue.

Greg Hao totally hear you on that. I agree it's sort of a last resort option, but if the executive needs to be the approver (which certainly may not be a true necessity, but it's how the OP presented it), and if the approval cannot be delegated and is a needed step of the workflow, then it's the only option I know of.

Would love to hear other approaches from folks in case this issue comes up in my organization.
