[Status: Not planned] Include Collaborators in Workload View

Please consider including Collaborators in Workload View.  Collaborators do not not need Workload View, but if they can be assigned tasks they should be available in the Workload View.  Right now those tasks just disappear from the view.  

Not having our Collaborators in this view makes planning very difficult for our teams.  Our Collaborators are our field people that fly all over the world and are shared resources for our Project Managers. We use tasks mostly to tell them where they need to be.  We want to be able to see them in the Workload View so we can make sure we do not have them scheduled to be in two locations at once (ie. Egypt and Paris at two different job-sites).

The option of having to purchase user licences for this limited functionality (they do not use Wrike for anything else) is an expensive proposition and I think ultimately will make us reconsider using Wrike.

We were also thinking about using Wrike to keep track of some pieces of equipment that we move from jobsite to jobsite.  These are a different kind of resource but if we could make the equipment Collaborators we could track its location and not double book it...if we could see it in Workload View. 

In short, it is a bad design to be able to assign tasks to Collaborators but not be able to track those tasks in Workload View.

Hi Eric, thanks for making this post. Your request will definitely stay here so that we can show it to Product Managers and other users can upvote it, but I also wanted to talk through potential workarounds.

1: Timeline View. The Workload View doesn't show Collaborators, but the Timeline View does. You can go to the appropriate Project/Folder, then filter the view by assignee so that you only see tasks assigned to a specific person. You would be able to easily create tasks right on the Timeline View. 

2: Reports. The Timeline View is more visual, but Reports let you look at multiple people at a time. In this case you would create a Report which shows assignees as well as scheduled dates. This way you could check if someone is already booked to be somewhere before you schedule something else. 

Do you think either of those options could work? Let me know if you want to talk through how to create the Report I mention.

I have to agree with Eric.  I manage a team of consultants and as the administrator it would be extremely helpful to see collaborators in the workload.  They wouldn't need it, as you described I created a report and they can easily see their own workload.  As the person that schedules these folks I currently use the timeline view but can't easily make a determination on availability, yes, I can see it but it's not as easy to see as it is in the workload view.  Please consider turning it on, at least for admins to see everyone in the workload view.

We recently signed up for Wrike and would like to see our Collaborators workload which is essential for resource leveling. We have collaborators who will not be using the system on a daily basis to justify paying a license for and the workaround mentioned are not practical. Please consider adding this feature as soon as possible because it's a GAP in the Wrike software. Thanks for your help.

We have recently purchased an annual subscription to Wrike and we're so disappointed that collaborators dont show in the workload view, as managing the time of sub-consultants was the main reason for purchase.

This feature would make Wrike a pretty perfect solution, but without it i'm finding it difficult to justify the cost of the software.

I agree. The lack of ths feature denies me to make Wrike more useful for our Company. If collaborators/"resource only users" would be included in the workload-view I could manage all our projects in Wrike. And while this feature isn't available I am forced to use different products at the same time which isn't really optimal for anyone.

 

EDIT: Actually adding just "resource only" or "passive members" who don't need any functionality on account level would be enough for us. Just the possibility to assign tasks to them and see them on workload-view.

Just reiteraing what the others have already said. If the collaborators can be tasked then it would be great to see that in the workload view. As the others have said we don't need them to have full access as they will not use it but from an admin view I would like to see who is tasked all in one place.

Totally agree, we have field crew that need to be scheduled. These guys keep on changing so can't have them as users

Totally agree, i have tried viewing things from the timeline but it doesnt give me the amount of hours invested in that date, and i tried with the reports, tried to clean it in excel and on sheets. but the data is way too much and my computer crashes

Unfortunately, I just discovered this. :/

 

The technicians we assign to tasks in our business do not need access to the software in detail  if at all. I, and my PM's, however, need to see these guys in the team planner. The team planner and the Gantt are basically what we stare at and flick between every day.

We currently us Microsoft Project online and I was hoping that the Wrike Online Team planner was going to be the best of both worlds. Adding resources and generic resources is just a whole lot easier in project although its a pain only being able to view the team planner through the desktop client. Sigh. The search continues.

Matthew Hogan basically summed up my situation and opinion on the issue.

We have many full users who are using wrike day-to-day, and are expanding to new departments.  So we're "paying our fair share" in terms of user seats. 

But we have 1 manager who needs to allocate 30 people.  The workload view is a perfect visualization tool.  However, these 30 people wont actually use wrike, besides possibly receiving email notifications.  We're on the Business plan, so spending $25/mo x 30 people is completely not worth it.

Not only does this prevent me from solving my 1 manager's problem, but makes wrike look bad in their eyes, and may be a "turn off" for other managers who would otherwise be interested in wrike (with several new regular users)

Either (a) display collabs in workload as they fit the intended use of that view, or (b) allow us to create dummy placeholder users like other PM tools do.

Stephanie...Would be interested to hear the work around  but am guessing you are going to say you can see them in the Gantt? 

If feels like you guys didn't include collaborators in the team planner on purpose which I totally get from a business perspective, but you guys need to realise that your project management tools need to be accessible and flexible for different industries.

I would have much preferred to pay a significantly higher cost per license to get access to more functionality i.e Project online is about $100/month.

We are keen to use Wrike across all project management and planning but not being able to add collaborators to work flow view is stopping us from using it to its full potential and is meaning we have to use other systems and approaches to handle our collaborators schedules. Purchasing user access for collaborators isn't an option for us as they don't use it for anything else and we simply need to be able to schedule in collaborators time  in work flow view. This small change of adding collaborators to work flow view would make a significant difference to how we use Wrike and would secure our commitment to using it in the long term as otherwise we will need to look in to other options.

If you can assign a task to a collaborator, that should be reflected in the workload view.  It's as simple as that.

Painfully, today, I discovered that assignments to Collaborators are not displayed under the Workload View, personally, I don't understand why the limitation when tasks are already shown in List View and Table View, how much harder is it to implement under Workload View?

Especially when the description of the feature says "The Workload View shows tasks on a timeline and grouped by assignee and it helps you visualize how much work each team member has to do."

I guess Collaborators cannot be considered assignees doing work  !!  I hope this is fixed soon, it's almost a deal breaker for me.

I don't think it is not difficult for them to include collaborators in the Workload View.  They probably had to write additional code in order to exclude the collaborators from this view.

I really think it is a sales ploy so that we purchase more full licenses.

After being on Wrike for over a year, I have started looking at alternative tools which will do a better job at resource planning.  We cannot do resource planning when you can only see a portion of our resources.

Please consider removing this limitation.
