How will This Beta Work?
The brand new Work Item Automation that we are ready to beta test with Wrike users works similarly to Wrike’s Automation Engine. It enables you to create rules that consist of triggers and actions that are applied to task and project Work Templates.
Work Templates is a new Wrike functionality available in Wrike Labs. They allow you to create fully customizable templates based on projects and tasks. These templates can be tailored to the needs of your whole organization or specific departments and teams. You can configure dates, assignees, locations, workflows, select which custom field to show, and more to create domain-specific work templates like OKRs, user stories, bugs, requests, etc.
Please note: Work Item Automation can only work if you have Work Templates feature enabled from Wrike Labs. Work Templates are available on Business and Enterprise accounts.
The main advantage of this new beta feature is that the rules (actions+triggers) can be set up not only by Wrike account admins but also by Space admins because Work Templates can be created by Space admins.
Another important difference from our Work Automation Engine is that Work Item Automation is set up for a particular work item, and not the location of that work item. It means that when you create a Work Item Automation rule for a project-based work template, you can create real work from it in any location (if it is an account-level template), and the automation rule will apply.
Once you create real work from your work template, you will be able to check the automation rules applied to this template, but not change them. In order to edit a rule, you will need to go back to the template and change the rule there. All new work created from that template will follow the edited Work Item Automation rules.
Please note that if you add a regular (not template-based) task or project to a project-based work template, the Work Item Automation won’t work for that task, because it is not part of the template. You can create separate task-based work templates and add them to your project-based template and create separate automation rules for each item.
Also, please note that the set of rules for task templates and project templates is different as it is in our Wrike’s Automation Engine.
Because this is a brand new functionality that we are beta testing, it may change in the future. This is the time for us to test it out with you so it’s very important to get your feedback on it. We will enable the beta for you then 👍 Please note that the team has some planned changes to Work Templates based on the feedback we've received, please check out our announcement here for more info. Because you've had Work Templates already enabled, you can still use your existing Work Templates. We recommend you don't create any new ones for now as we work on improving the functionality for you ahead of the general release.
