Project Templates

Hi all, I've got a project template set-up in a folder named 'Templates'. I have assigned dates to all the tasks to help visualise in the 'Stream'. I get emails every week saying 'overdue task' for all that are technically overdue. It's not a live project though, but I want to keep the dates on as they would be accurate for next year. The emails are infuriating! 

Any ideas how I could stop this?

Hi Ellie,

We experienced the same thing when we first started our venture into our project template.  As a company standard, we decided that users should turn off all email notifications.  Obviously this will eliminate the noise in your email, but the greater benefit is driving users to work in Wrike from the beginning of the day rather than clicking on a task from an email.  It should also help with user adoption and habitual Wrike usage.

If you haven't already found it yet, you can turn off notifications in the following area and I hope you find this beneficial.

Profile Settings > Email Addresses > Task, project, and folder updates.

Hi Ellie,

We use many templates that are usually copied over from a request form.  We also found it frustrating to get email notifications about overdue tasks and had a building list of overdue tasks in the "My Work" task list.  This is annoying!  To overcome this annoyance we first created dependencies for each task in the template.  Next, we established custom workflows that included a completed status called "Template Only" and used this status for the tasks in the template.  This technically completed the template tasks so it did not show up in our overdue list.

@Ryan @Trevor Love the collaboration here! One quick additional note about statuses: Statuses in the deferred group don't show up in the overdue section of To-Do emails or in the Dashboard widgets for overdue tasks. Hope that helps a little.

@Stephanie, But with deferred the dates are removed correct?  If the dates are removed with deferred do the dependencies along with the dependant dates stay intact when using templates in Wrike forms?

@Ryan @Trevor, You can also just set all template tasks to "Cancelled" - this keeps all original due dates and dependencies, and it avoids creating new projects that have that custom "Template Only" status in them (or having to switch to a default workflow once you create the project).

@Carolanne, you are right canceled does work.  We were creating new workflows anyways to adapt to the different stages for different projects so we just added the "Template Only" so that one searching for the templates can search by status for quick access.

@Ryan @Carolanne Both awesome suggestions! Canceled and deferred will both work (and keep the dates you've scheduled). 


@Ryan If you're creating new workflows, try creating your "Template Only" status in the "canceled" or "deferred" sections of the workflow - instead of in the active section. That way you have an easy to recognize name, but don't have tasks showing up where you don't want them.
