[Use Case Marathon] Week 3 - Event Management in Wrike 👥

This is our third post in our Use Case Marathon series, and today, we're discussing Event Management.

Event Management 👥

Throughout 2020 and the first half of 2021, we’ve seen lots of businesses organizing events online. We will hopefully get to more offline events in the future, but regardless of whether the event is happening behind the screen or not, it needs proper planning and management. 

In Wrike, it's possible to coordinate events both big and small, manage multiple projects running at the same time, break each project down into subfolders for every major initiative and schedule tasks across a cross-functional team.

Our company uses Wrike to prep for internal and external events - even just booking rooms for meetings (pre pandemic). 

All of this is done by gathering info upfront via request forms. 

Internal and external prep are completely different projects.

We use Wrike to plan events and campaigns with heavy use of custom fields, request forms, blueprints variant to scope and scale, reports to stay on track, and meetings with live action item creation to follow up.

In the past we have had our checklist of items for major event preparation. We need to take a closer look at how Wrike can help support us as we learn more and adopt more of Wrike.

Part of our primary offerings is to be able to support our clients' event - including planning the materials and asset delivery to the events.  With request forms -  custom fields, project, folders and tasks allow us to utilize the data for calendars, dashboards etc that we share with our internal and external teams!

There's one in particular, called Event Management, that you can use to start managing events. It includes five stages — set up as folders within the template — to guide you through the process. I think this "Follow Up" Folder is quite important. Yes, we plan our events in Wrike, and especially the feedback afterwards is also collected in Wrike. This could be done by a request form, too, or just by a task with subtasks. We struggled a little bit with responsibilities and statuses of these tasks - I think the asignee should be the responsible department leader, and the status should be completed if the feedback is reviewed and considered for future events.

We don't really run events as part of our business - but we do have time sensitive projects with firm deadlines, so I guess it is a very similar set-up.

Hi Lisa we really don't have anything that would require loads of planning

Our last company event was a comedy show and a dinner - a simple news post was enough to let staff know and give details, planning really didn't require even it's own task....

We haven’t had any events since we adopted wrike, but I imagine that we will make use of it for this purpose in the future!

Are there any best practices on using this template? We submit event projects via request forms and have a massive blueprint.

Hey Soraya Noel! This template has a pre-built request for events as well, and submitting it creates a project with pre-configured views. So it looks like it's pretty similar to what you're doing, but I'd still encourage you to review it (there's also an overview video included when you preview the template from the space creation menu). Please let me know if you have any further questions!
