File Approval Tweaks

I feel like the file approval process could be improved, or perhaps there are customizations available that I'm not aware of.

  1. "Approved with changes." When there's just a misspelling or a small tweak, I don't need to review the entire file again. Is there a way to turn on an "approved with changes" option? Or, at the very least, allow me to add a comment when I click the approve button so I can simply add, "with indicated changes"?
  2. "Changes required." This is a perfect button. However, when I use it, the Wrike bot stamps "REJECTED" on the task. It's not like everyone on my team is hyper-sensitive, but I would never tell someone that their work was REJECTED, especially if I'm just looking for a few small changes. Is this customizable? Or is there a reason behind this behavior?

Yes, please! All of this. I have a whole "rejected" speech when I train people on Wrike. It's a little jarring to see that your work is "rejected".

Hi Teddy,

when you clic on approve a space to add some comments appears and also when you clic on reject. Can you use to add some info about changes.


You can also use add a new status on Workflow called "Approved with changes" to infor people that task is not closed, it's ok but you need some changes.

In addition, if you approve a specific file, you can, via Wrike, open it and mark comments to notify you where there are changes to be made.

For your point 2 you cannot personalize the text "Rejected" but you can use Automation and create a rule when task is Rejected to add a nice message to assignee

I agree with Teddy above.  Our approvals are automated through the task status, and we'd love the ability to branch which status the approval decision sends it to, beyond just approved/rejected ("Changes Required" would be a better choice of wording).

Additionally, We have multi-step approvals and I'd like to files that were attached to the first approval to be included automatically in the second approval.  Here's the workflow I'm referencing...

When "Concept / Dims Review" is approved, it automatically transitions into "Submitted for Approval" (which is our management review).  The approvers for the first approval are different than the approvers in the second approval.  The first approvers have to remember to attach the files they approved at "Concept / Dims Review" to the next round approval because they are not automatically brought forward.  This is an extra step that is easily trained, but very prone to human error.

I like the changes-required comment window Pietro Poli shared. We don't seem to have that in the Proofing feature. Or maybe it is within the Project structure? I think I have seen it when I set up approvals in a Request Form.

I also like the workflow solution from Trevor Tollefsbol. I will try that out as a workaround for now. Thanks!

Hi Kelly R to obtain this kind of behaviour you have to de-select "Approve files only" when you create approvals.

My boss only just became aware of this issue yesterday. She happens to also run the architecture team, and said:

Obviously designed by someone who has never actually had to approve this kind of work.  In the world of Architecture and Construction, the standard nomenclature for official submittal that needs work is:  "Approved as Noted"   (and then you can check an additional box if it requires another submittal- "Resubmit".
