Project status impacting task status and vice versa

Currently when a project status is updated to "Completed", "Cancelled", or "On Hold", any remaining tasks are not affected. A user has to go into the tasks and manually change the status of each task. It would be great to have the ability to change the remaining task statuses by just changing the project status. For example, if we had to put a project "On Hold", it would be great if all of the tasks changes to "On Hold" as well without having to manually change them. On the other side, it would be great if all tasks were marked a specific status, the project status would update to that status. For example, if all of the tasks within a project were marked "Complete", it would be great if the project would automatically mark itself as "Complete" so that we wouldn't have to do it manually.

Yes, giving the option to update "children" when parents are updated, so tasks when projects are updated, is a huge help.  You already ask the question when you update a task whether to update subtasks, so could this simply be applied one level higher in the hierarchy?

YES! We have projects go "on-hold" more often than I would like to admit. Is there a way to automate the subtasks to on-hold. What a manual and time consuming effort for some of our templates with 97 subtasks 😵😬🤢💩

Is there an update on this feature? We too are looking to automate when a project is placed "On Hold" the tasks and subprojects that are still active move to "On Hold" as well.

Oh! I can't agree more! This is an absolute must! It doesn't make any sense to put project On Hold and then keep al the tasks active. And even if we use mass edit you have to filter it. Because we put projects on hold at any stage of the process, many tasks can be already in progress or completed. So when Project is back from on Hold we need all statuses back for the tasks automatically.

Hi, any news on this?

The last feedback from Wrike is from March.

This seems so trivial, I can't find any reasons why someone thought not to implement it in the first place.

Whatever the final decision is (you may perfectly decide that it is not an important feature, if you have the right data to back up your decision this is fine), however as a general impression I think you guys move very slowly. We have been using the system for more than a year and have seen very little to 0 new feature in this time frame.
We use an other tool called Coda, which is for a total different purpose, they deliver several features a month. This is impressive!

Thank you for reaching out and letting us know your thoughts, Stephane Hildbrand! Our team is working on a feature that should be helpful in this scenario 🙂 I can't share more details at the moment, so please stay tuned for the updates in the coming weeks!

Following this one!

I need this feature when putting large projects (with many subtasks) on hold.

Hi everyone! Our team has recently released Wrike's Automation Engine, and with that, it's now possible to automatically change the project's status if all tasks in it are completed.

Hope this helps!

Lisa - this doesn't cross the Project vs Task barrier. There is no option to automate cancelled tasks when a project is cancelled.

Hi Megan McGuire, you're correct, I was only mentioning it for the "vice versa" scenario of this suggestion.

Any news on this one?

As far as I see this this feature is still missing in the automation engine.

Hi Stefan Marusic, welcome to the Community, and thank you for posting. At the moment, there is no news, you can follow Lisa's suggestion above for changing the project status although I understand that it doesn't cover each use case. For now, the team is aware of the feedback here and we'll be sure to let you know if there are any updates.

Giving this one a bump, as if I've interpreted it correctly I'm surprised and a little frustrated that it isn't part of the Automation Engine.

Is there no way in Wrike to change the status of tasks in a project, based on the project status?

My use case seems like it would be pretty common... I have projects that are pending, and when they become live I really don't want to manually update all of the tasks and subtasks to live...

Just to add some notes to this thread....

I find this automation might NOT be as helpful as it might seem, at least for my projects. I use tasks with several different workflows. Therefore if I put a project on Hold, I can't allow the automation tool change all tasks to "Default workflow: Hold", for example. Restoring the project to Active would fail to restore the proper workflows for each task.

I ended up creating a separate workspace for "Proposals" or for "Archived (completed) Projects". This separates the inactive projects/tasks which I can filter from reports and tools by way of filtering out the appropriate spaces.

Hopefully this tip is helpful to some of you.

Hi Lisa

I do not have the "Change Project Status to" action in my Wrike automation wizard!  Has something changed since you posted here?

I am trying to create an automation rule to change the "Project Status" when the "Task status" is changed on one of the first-level tasks under the project.

Hi William de Andrade Ramos da Silva, welcome to the Community! Even though we don't have updates on this suggestion, I'd like to mention that you can achieve something similar in the New Table view, where you can drag the status of your project to all its subitems:

I hope this information helps! Also, I'd like to mention that you can check our New to Community forum to discover all the resources you can find in our Community 🙂

Hi Wrike Team,

Any updates on the automation feature with regard to having a "Project Status" change specific "Tasks" within a folder?

Hey Kassandra Idowu! It's currently possible to achieve this with automation 🥳

Please see the setup and let me know if it helps!
