Some of you may know that our Product team has been working on new features and design for Wrikeโs request forms - huge thanks to everyone who helped us validate this update! ๐
Today, weโre very excited to announce the release of these features and the new look & feel ๐ฅ
Request forms is a powerful feature thousands of users enjoy, and we continue to receive a lot of feedback related to this functionality. This is why weโre especially happy to announce this release that will solve a very popular Community suggestion ๐
Whatโs New with Request Forms
- New look & feel ๐ผ๏ธ
Letโs start with the visual updates! The new look & feel is more modern and works better with the rest of the updated Wrike platform. Weโve also moved the Settings panel to the left side:
- Add questions anywhere on the page ๐
You can now add new questions anywhere on the page, not just at the bottom like it worked previously.
- 'Use custom fields as options' button for easier assignment of custom fields as options
This new button will save you time - no need to write the options yourself, just click on it and youโll have your question ready ๐
- Mapping answers to Title, Description, and Custom fields as the same time with the 'Add answer to' button
We know that many of you wanted to have this option, and itโs now available โ Itโs now possible to map answers to multiple destinations:ย

- New logic for account- and space-level custom fields
Now, when using space-level request forms, youโll be able to use space-level (from where this form belongs to) and account-level custom fields available. For the account-level request forms, only account-level custom fields will be available.ย
What Happens with Existing Request Forms?ย
Existing forms should continue to work without interruption if you donโt edit them. Once such edited forms are saved, the mapping to custom fields that do not belong to the current space will be removed. What you can do is duplicate such a form to make a change there if you wouldnโt like to lose the old mapping.

Exciting update. Request Forms are one of the key features that we use.ย
I like that we can map fields to multiple places now.ย
This change like it's looks really close to updating the title to map from multiple fields as well. Here are a couple of requests on the topic (that haven't quite hit the 60-vote mark):

Mapping an answer to multiple fields is great!ย
I love that we can now add questions anywhere on the page! Having to move questions up/down on complex request forms took a long time with the previous design. This new design is way more efficient!ย
I agree, a great step forward!ย Adding questions anywhere on the page is a real time-saver and being able to map an answer to multiple fields is useful, too.
We did lose the ability to easily see to which custom field an answer is being mapped.ย Under the old forms, I could 'CTRL-F' and search the form for where a custom field is being used, or I could also do a quick visual validation that I had mapped things correctly.ย Now I need to click on the question to even view the 'Add answer to' prompt, and, even then, it only displays 'Custom (1)'.ย I have to click on the drop-down to view which field was selected.ย Sometimes the field is not even displayed, and I have to know the field name to search for it in order for it to appear in the list even though it is the one that is already selected.ย This is a minor complaint, but it would be helpful if you could make it easier to view the custom field mappings.

Lisa - They're close to the same, but I don't think this post does exactly what they were asking. This post was asking for multiple form fields to be put together to make up the title of the project, and the other was looking for mapping to multiple locations (that one is solved with this update). Really close to resolved. I think they could have easily finished these requests with this update, it just wasn't on their radar yet.ย

We want some like this image
Where you can add multiple similar raws in Description field.
Great improvements. Any chance we can add something for easier navigation, like links to each of the pages on the side panel? Or could we change the options instead of submit form or direct to page x, can we add redirect to form X? This would make it a lot easier to manage multiple forms instead of a giant form with so many rulesย

Overall, still very pleased with the new functionality in forms.ย However, I did notice a change in behavior when a question is using a single select custom field.ย Let's say I have a single select custom field called 'customer' with 15 options.ย I add a question to the form that is mapped to the 'customer' custom field, and the form also executes an action (Redirect, Add project owner, Add parent folder, etc) based on the selection.ย Now, let's say I have to make a change to the custom field.ย Maybe I have to add a new customer.ย When editing the request form, the old version would have warned me that there was a change and I had to click an icon to resync the options.ย I would have also had to add the action for the new option but all of the actions for the existing options would have been retained.ย In the new version of the form, I get a message that the options have changed and I lose all of the existing action logic.ย I have to re-select the custom field and then add the actions for all of the options, even the ones that did not change.ย Not fun.ย Hopefully, you can figure out a way to handle changes to the single select custom fields in the new form that is more aligned with how they were handled in the old form.

Are the changes great? Sure. But I just tried to update an existing request form and ran into an issue where I was unable to add a parent folder on an answer to a single select question due to the folder not being in the space that the request form lives in. And then, I don't even have an option to remove the request form from the space. I reached out to support and they're going to deploy some option that allows me to add more spaces to the request form, but this was not how the request forms functioned before and now I have to wait in order to update request forms that really need to be updated now. In addition, it does look like some of the other settings I had on my request forms have reverted back to a default setting such as the create project from section. It used to have a blueprint there, but now it's empty.ย

Lisa mapping the answers to multiple fields is a big help for us, we requested it also before. Congratulations on this! but on the downside trying not to be grumpy: Why does it take 6 whole years to add functionality that really adds to the functionality in plans and saves time (we had request forms with duplicated questions to map to two places). While GUI changes are made every few years that cost companies time, slows down the programs and add to the learning curve of the users that yet have to find their way in the program.
