Dynamic Project & Task Naming

A feature to allow for dynamic or variable naming, for example:

I have a big campaign called "Big Escape" under that project are tasks (Big Escape: Email, Big Escape: Landing Page, Big Escape: Tshirt) and under each of those tasks I have subtasks (Big Escape: Email - Copy, Big Escape Email: Design, Big Escape Email: Dev).

Right now I have to either manually type "Big Escape" "Big Escape: Email" over and over again (or cut and paste). And if I want to make a template out of this then I have to manually go through and change the names of the tasks and subtasks throughout everything that falls under the main project.

If there could be dynamic naming using fields, that would be amazing! Like task title:
[Project Name]: [Deliverable Type] - [Work (i.e. copy, design, dev, etc.)] and if at any time I change the Project Name that is attached to those tasks, it automatically changes all instances of it on the individual task titles.

Hi Olivia, thanks for your post, it's a great idea! If you complete the same type of tasks/subtasks for each project, I wonder if duplicating a predetermined template which doesn't have a project name may help.

For example, if you create a template that excludes the prefix you mentioned above in the tasks (i.e. exclude the project's name 'Big Escape' from tasks/subtasks). Now your tasks will be 'Email', 'Landing page' etc. Then chose to duplicate this template Folder once you're ready to start a new project.

Once you choose a duplicate, you're given some options (shown in the image below), one of which is to choose the task's prefix. Depending on what Project you're working on you can choose this prefix to be the client/Project's name; like Big Escape etc. This will create a copy of the template but this copy will include 'Big Escape' before each task name, saving you time editing.

I understand it's not exactly what you're looking for but it may come in helpful. Looking forward to hearing your thoughts on this!

Hi, Stephen!

This is a great recommendation, thank you! My only hang up here is that I don't actually use 'Projects' in Wrike because I'm managing projects across 12 different brands, so I use the sidebar exclusively for folders. It unfortunately reduces the capabilities because I'm missing out on all of the features of 'Projects', but with SO many brands to manage, if I keep projects in the left sidebar, then things start to get incredibly cluttered and lost. BUT, maybe I need to reconsider how I'm using it and try using projects as they are intended.

I'll start creating my templates as projects and not tasks and see if this suits my needs better.

Thank you SO much for the suggestion!

Anytime Olivia! 🙂

I think you're using Folders correctly. Though not using Projects can restrict you when it comes to some automation and processes (but you can still use Folders and prefixes).

The idea is that you will have a parent Folder for each brand and then create Projects within it for each job you do for that brand. For example, your 'Big Escape' project, and each job you do for that brand would be a Project within the parent Folder; the work required to complete the Project would be task/subtasks... I hope that makes sense!

I think reviewing the building blocks of Wrike might be helpful here when thinking about your Folder structure. I'd also like invite you to attend this Live webinar next week: Setting Up Your Workspace. I think you'll find it very useful. Any questions, I'm just a post away 😀

I have actually signed up for a Wrike webinar on Monday to see if there are any tips, tricks or insights I might not be aware of that can assist with our use and setup of Wrike.

Question for you: when a project is completed, does it go away from the sidebar? Or do they need to be manually "archived" some how so they aren't taking up space in my sidebar? At any one time I have at least 20+ projects rolling and as projects are in progress or completed, additional projects are constantly being added. Over time this would lead to me having hundreds of projects in the sidebar, which makes it much more difficult to quickly navigation between various brands and projects.

I greatly appreciate your assistance and insights, thank you so much!

Hi Olivia, I apologize for the delayed reply here. I hope you were able to attend the webinar and enjoyed it!

In terms of completed Projects, they currently need to be manually archived and we have a post with best practices on how to go about that. There's also a popular thread in the forums asking for functionality related to archiving Projects. We have frequent conversations about this subject with our PM team, so a +1 on that thread really does make a difference.

Is there a way to do this via a request form? So I can get it create the project name using title but not the sub folders like I can when duplicating a folder or project... For projects with the same steps this can get confusing when we have 10 folders all called "discovery"
