[Status: Launched ๐Ÿš€] Request forms - Autopopulate/map to custom fields on a task folder

Hi there.

The Request Form feature is a great tool. However, there is limited option to map to fields on the task that is created by the form. Currently, it is ONLY Title, Description, Start Date or End Date.

The ability to map a form field to a custom field on the task would make this tool so much more useful and productive.

When you create a form, you have to tell it which folder the task goes in, so it should provide an ability to map any form field with a custom field that is defined on the target folder.

Please consider making this change

Would love to see Request forms be able to write to custom fields from checkbox questions. Currently, it looks like it can write to the project title - would also like to be able to write to custom text fields. 

Example: We ask people what assets they need from the creative team. They can check any of the assets they need. Would love for this to write to a custom text field - all those checked listed and separated by commas even. Then it can be on the top of the project AND we could report on how much of each type we do when looking to hire or do resource allocation.

Hi Kristen, thanks for sharing and voting. Our developers have been working on releasing new ways to map to Custom Fields. As checkboxes may have multiple options, the logic can be a little more complicated. 
 
I currently have no update on if/when this will be released but you're following the right thread here on the Community for all related updates. Thanks ๐Ÿ™‚

Is there any plan to have a new question appear under a current question based on the dropdown instead of routing to a new page?  If not, any plan to be able to map custom fields to multiple question responses?  For example, we have a question that asks what the issue is related to (Billing, Reports, Quotes, etc.)  Based on that response it takes them to a new page for each response to ask what specific item is affected, which will be different for each, but I want to be able to group them all together.  The ideal would be able to have a custom field just for Related Issue and then Affected Item.  Right now I have to have an item for Billing, Reports, Quotes, etc. instead of just one field.

I agree with a lot of this - It would be awesome if fields filled out in a request form mapped to the related custom field. 

 

Example: When one of my request form users submits a demo content request - I require specific information from them about what Region they are in, the Niche, what equipment they are using, etc. Right now, when I receive a request - all of that would be manual entry into those fields. In other areas, there are checkboxes they need to select depending on the type of content or services requested. I'd love to have the ability to select my custom fields, just like we do in the tables view, and they populate the options from my custom fields into the request form.  When that form is submitted, those fields are already connected and that data is mapped. 

It would cut down on SO MUCH data entry and reduce human error or missing a field when we're processing those incoming requests, which in turn affects our ability to accurately report.

Hi Kelly Hanson,

Couldn't help but reply to this as a customer / current user , just to let you know, we are already using what you are looking to do and it is working really well for us, automatically mapping answers to custom fields and also using custom fields list types.

For example (one of many we are using) we have custom field in our customer project folder that has the Account Managers name, the Request form is automatically populated with  the list of Account Managers and the person requesting selects a name and this is automatically populates the  right custom field for the project or task, we then use this with Reports to create live reports for each account manager.

It is working really well, the main thing I had to get my head round to make it work was to be able to see/use these custom fields when creating the request form is that the custom field is showing in the table view for the folder that your requests are getting sent too. and you have to pick the folder the requests are getting sent to in the request form builder before you add the question in the form then they show up.

I appreciate the notes Paul and I should have probably been a little more specific in my post as to what our request form looked like as well because yes, I can absolutely map to my custom fields with some of my simpler forms that go directly to a specific folder and it's great. Where I'm running into issue is that with our primary request form that includes some redirects based on options that are chosen. I need to be able to populate the fields for the folder based on the chosen type of request and it just doesn't seem to allow me to do that. I haven't migrated everyone over to that form yet because I wan't to get these kinds of things worked out so that nothing gets missed. I could potentially add every custom field we have to our existing incoming requests folder, that seems very messy but would possibly be an okay workaround as long as the those field properties are maintained with the redirect. I may just have not played with it enough to see what all the possibilities are...we just cover so much ground with our form to make it a "One Stop Shop" for the person filling out the form that I just don't know how much we'll be able to get auto-populated no matter how badly we want that! ha!

It's a tricky balance trying to keep it simple for our sales/account managers/coordinators/etc, who fill out the requests and trying to capture all of the details we need without a bunch of manual entry on our part.

I agree that this feature should be considered a priority for the request form update.  Right now the only way to achieve this is to build your own form and connect it to the wrike API

Hi there,

We just started using Wrike and I have a general question: is it possible to populate dropdown on request form with values from extrrnal data source. For example, there are ~5,000 prospective customers in our database. Is there any way to bring them into dropdown?

this would be awesome.

Users could nominate what strategic priority thier project addressed, rather than us manually updating the custom field.

Is there any way to have the custom field be applied to all of the tasks within the project/folder the request form is creating? Right now I can only get my custom fields to map to the project/folder level.
