Assistant Sharing Wrike Inbox with CEO

Hello! My CEO would like his assistant to be able to look at his inbox. As far as I can tell, admins can log in as other users but it deactivates that user in the meantime and then that user needs to be reactivated. 

I proposed a User Group solution where the team could tag one name/user group containing the CEO and the Assistant as well as a Dashboard for the assistant to see what the CEO is assigned to. However, items could be missed if a user doesnt tag the User Group. 

Any ideas?

I think this would be a good use case for a new automation trigger. If user 1 is tagged, automatically tag user 2. 

At this time, I think the user group is your best bet. You could make the group name very similar to the CEO's name so that it always pops up when someone goes to tag them. For example, if I'm the CEO, the user group could be called Anna Wallace + Assistant. You could even change the CEO's name on their individual profile to "CEO A. Wallace" so it's not as likely to be used. 

From there, it's just a matter of ensuring how important the team knows this best practice is and providing reminders every time someone doesn't do it correctly.

Hi Kate Collins I agree with Anna Wallace.

If you have Wrike Integrate I think it's easy to create automatism for tagging.

If you don't have wrike integrate I suggest you to:
1- create a form for all requests that must reach the CEO
2- every time the form is filled in you can make sure that your assistant is tagged and consequently she will become a follower of the task
3- at this point, by activating notifications for all the tasks you follow, you're done

Pietro Poli Anna Wallace I jus t went to set up the automation engine rule and I only see the following trigger options for tasks (none related to when the CEO is tagged):

All direct subitem statuses change to

Hi Kate Collins, what will work is using the API. You can set up a bot (Jenkins Server) which is going through all tasks and if it sees a task for your CEO it assigns it also to his assistance if it is not already. If Jenkins works you can do a lot of more things with API (e.g. you could inform the assistance via mail or via @-mention in Wrike). It is some work for a software guy.

using form you can setup as a trigger when "new task is created", if you insert all request in a particular folder.
