[From Wrike] New release: Add your space Workflows to SEVERAL spaces! ๐ก
FeaturedHey admins,
Alina from Product Team here. Ever created a configuration 'in the wrong place'? And then, once your team grew, it was hard to find a way to expand your setup to more teams without creating an additional account admins burden. Today I bring you an exciting update (and the first chapter in several upcoming releases) to address this problem โ ability to make your space workflows shared between several spaces!
When to use it
- If you want to unify your teamโs processes and ensure they use the same setups without any copies created
- If you want to separate and and distribute workflows to relevant teams only instead of exposing them to everybody
- If you want to reduce unnecessary account-level setups and minimize duplicated configurations while avoiding execution and reporting errors
Now you can
- Reuse the same workflow in 2+ spaces regardless of where it is located (space or account)
- Separately control where your workflows are located and in which spaces they should to be usedย
- Avoid converting a workflow to the account-level just to add it to several spaces
- Avoid giving up management rights to account admins just to share your workflow with several teams
How to use it
Available in Enterprise and Pinnacle plansย
- Edit Added to field to apply the same space workflow to multiple spaces
- Use Belongs to field to separately control whether this workflow is managed in a space or at the account level by account admins
- Who can do what: Account admins can add any workflows to any spaces. Space admins can only share workflows between spaces that they manage.
- Note: Adding workflows to other spaces lets people use the workflow in those spaces, but doesnโt automatically grant management rights to other spaces.
- To start, go to Space or Account settings โ Workflows and configure the Added to field.b
Tip ๐ก
Now you have full flexibility in organizing your configuration management in a way that suits your specific account. Examples:ย
- Belongs to: Account | Added to: Space 1, Space 2... Centralized approach โ only account admins can manage the configurations while spaces are only allowed to consume. Use this option for general processes when you want to ensure that the configurations are managed by a centralized group only.
- Belongs to: Space | Added to: Space 1, Space 2... Decentralized approach โ space admins manage and share configuration with other spaces. Use this approach if you want to reduce account admin burden and delegate configurations that can be managed by end-teams.

Amazing ! It would be even greater to have a similar update for Custom Item Types, Custom fields and automations as all of them work together. Do you know if it's planned ? And if yes, do we have a timeline ? Thanks a lot for this amazing update ! It will help a lot
Alison Jonckers Hey! We will continue to evolve this topic till the beginning of the next year. Next, Custom fields will receive this update which will later be followed by Custom item types!
