Today, let’s talk about Procurement!

  • Use Case: Procurement.
  • Can be used by: Operations team.
  • How to launch: From the space creation dialogue.
  • Functionality used: Folders, projects, tasks, a custom workflow, a request form, a dashboard, and reports.
  • What’s inside: A Purchase Order request, folders for new, active, completed, on-hold, and canceled requests, a useful procurement template that’s used in the request form, and tools for tracking purchase requests.

Procurement

After launching this template, you’ll see the folder structure that consists of a separate folder for each stage a procurement request can be in. The first folder - “New Requests” also contains subfolders used as tags to indicate the importance level of a request.

New projects are created in this folder after an employee submits a Purchase Order request form. This request form uses the Procurement template that consists of seven stages, each represented by a task with some useful information and tips for your procurement process. 

This request form covers a pretty extensive list of questions and inputs required to make sure that the Operations team has all the necessary info before purchasing.

The importance level of a new purchase request is set up immediately - Wrike automatically adds the new project to the correct importance-level subfolder depending on how the requester defined its priority. 

This template uses a custom workflow that is typical for an Operations or Procurement team. It has specific statuses like “Vendor Selected” or “Order Submitted”:

In the tools section of the Procurement space, there are three apps to help you report on new and active requests, as well as track what stage each request is at on any given day.

Very good template but our company uses NetSuite for procurement.

While we order frequently, we have vendors we use consistently and it is rare that we are required to do a purchase requisition. We have our process built out via broad workflow status rather than individual tasks.

We have different operational processes in place - but love this template should we ever consolidate into Wrike. Great example!

It depends what it is as to who handles procurement. It can be CT, Operations, or CRM. I don't have much to do with it though, so I'm not an expert.

Operations use a purchase request in wrike - accounts send out the purchase order using information on the wrike request.

Wrike request once status changes to ordered - also gets tagged into the project space so PMs can see what ordering is still coming for their project

I don't have any insight into Procurement, but I'm guessing that my organization is not using Wrike for it. I believe that Wrike is exclusively used by our Marketing team.

We have tasks built into our request form blueprints to notify the correct person that a purchase order needs to be created.

We do not use Wrike for procurement. In projects we only have a task for the buyer if we need something, but procurement is completly in Oracle.

Interesting template. Our team does not completely manage the process, and it's managed already in other enterprise platforms. I created a blueprint to manage purchase requisitions creation in our ERP, but it would be good to add a request form to optimize it.
