How do I share my work with clients?

Hi, I've stumbled onto some issues and would really appreciate some help.

One of the main reasons I decided to go with wrike was the ability to share snapshots to clients, turns out, I can only share snapshots with other wrike users (which none of my clients are).

Currently, I have to ask them / convince them to accept the invite / sign up for a service they know nothing about and most of the clients are unwilling to do so (which I completely understand). 

May sound silly but I'm not a wrike sales member so don't see why I have to try to sell wrike to my clients. 

It always ends up wth me having to re-write the info into an email and send it to them. So option A of convincing my clients to become collaborators is not an option.

Option B would be to save an excel sheet but then it removes all color coding and changes the font / layout. Understandable, but nothing I'm interested in doing. 

My last option, trying to print a pdf, messes up the entire list. I can't just print the particular page with the info on it so I get all other frames with it which looks extremely unprofessional. 

With these things considered, there's no good way for me to share the wrike info with people outside my company which pretty much makes the product useless. 

I realise that you can say it's because of security issues but when I share vimeo videos to clients I can choose to share it via private link or with a password, I don't see the reasons why I can't share the reports in the same way. The clients are never forced to sing up for vimeo just to view the video. If there's a security issue with that, just give me a warning / agreement and I'll gladly take the consequences. 

The only reason I can think of is so that we (the users) end up telling more people about wrike but it's not really a paying customers job to convince more people to join wrike, that's the for wrike sales team, not the clients. 

Any help on this? (Screenshots is not an ideal solution either since I have to take several screenshots and stitch them together in photoshop which is quite a annoying to do a few times a day). 

Anyone who knows of a workaround for this or are there "real" functions to make wrike more collaborative on the way?

Hi Andreas, thanks for reaching out. It sounds like you're trying to share either Report or Timeline Snapshots with people who don't have Wrike accounts. You can share Timeline Snapshots with anyone (Wrike user or non-Wrike user) and we just released the ability to share Report Snapshots this week. Anyone with Snapshot links can view the information on the Snapshot, even if they are not a member of your Wrike account
 
Let me know if anyone is having trouble viewing information from Snapshot links, our team can help troubleshoot. On a final note, we recently started publishing weekly release notes. You can check out any new product updates here

I have a similar question to Andreas. If I want to share attachments from Wrike with a collaborator or user, can they get the attachment without opening Wrike? Can the attachment come to them via their email notifications as a file and not just a link back into Wrike?

Hi Libby, thanks for reaching out. Let me start with a quick breakdown of how attachments work with email notifications:

  • If you are logged into Wrike: if you click the attachment from the email notification, then it will open in a separate tab, not in the actual Wrike Workspace.
  • If you are not logged into Wrike: attachments (like google docs, or locally attached images) are clickable in email notifications but you'll be redirected to the Wrike login page (this is for security reasons).
  • (For those that have Proofing and Approvals) If you have Proofing and the attachment is a YouTube video, then you can view the video right from the email notification.

So if the user or Collaborator is logged into Wrike they'll be able to click on the attachment from the email notification without going into Wrike. If you have a moment, I would love to hear a little bit more about your use case and your workflow!

Can a client download a final video from Wrike?

Hi Emma, thanks for posting this here! If you invite your clients to Wrike as Collaborators they will be able to easily download video files attached from local storages. To download a file: right-click a file name in the attachments area and select “Download”.

It works differently for YouTube videos: since they are not hosted in Wrike, it’s not possible to download them directly from Wrike, but your clients will be able to open them in YouTube. To open a YouTube video attached to a Wrike task in YouTube:

  1. Click a file’s title to open it in the Proofing Viewer.
  2. Right-click on a video.
  3. Select “Open in new tab”.

I need the ability to send clients a notification that a task is complete. It would be so nice to be able to add people as "viewers" rather than collaborators. I don't need the client to collaborate in any way - I just want them to view the task and know the task was completed!

Hi Jessica, thanks for reaching out here! Something I wanted to suggest, in case you don't need clients to actually work in your Wrike instance, is using Reports. There are a couple of ways they could help achieve those goals:

  • Creating a Report Snapshot allows you to share an overview of tasks and their statuses with clients who aren't a part of your Wrike account. A Report Snapshot is static, so a new link would need to be generated and sent to clients each time you need to update them about the current statuses.
  • Sharing Reports is possible if clients are a part of your account. While they still need to be members of your account, they won't need to go into tasks to check statuses. Shared Reports created by you will be available to them in read only mode from the Reports section, and they can just bookmark this section to keep track of statuses, which are updated automatically.

Thanks for taking the time to reply! For us, the notification a client needs is tied to just ONE milestone (task) at a time, so a report would be over and above the time we want to take to send them a notification that that step was completed. Being able to add them as a simple “viewer” so that they receive a notification that the task was marked as completed and can view the task description right in their email would be ideal.

I hope that’s available someday. Since we need to send out about 500 task completion notifications each month (all to different clients) this needs to be as quick as possible.

Hi Anastasia,

We have a professional account and wish to share a view of the dashboard for a specific project (the task list and timeline, mostly)  with some of our clients. We do not want them to be able to modify anything, but it would be great if they could see the project status, description and team interactions when they wish to.

I understand that we can export the task list into an Excel format and that the timeline can also be printed and shared, which is great. But instead of us having to export the information and provide it to our clients in Excel format, is there a solution that would allow the clients to actually see the Project dashboard directly in Wrike when they wish to, with the restriction that they could not modify or enter new information?

Hi Guillaume :) Giving clients Collaborator licenses might be one option. Collaborators can make a few changes in the Workspace (change task status, add comments, and attachments), but they can't make modifications beyond that. Do you think that could work for your team?

I do want to mention, we have Reports, which are a Business feature, but you can share a Report with others and that gives people a view-only window into the data displayed on the Report.

Hi Wrike team!

Running into similar issues in allowing our client to proof files (images + video) without them having to log-in or convince them to create an account as a collaborator. A big reason our company went with Wrike was because it had the proofing capability built in. Is there a way or a feature in the works to allow sharing proof links to anyone that allows them to make comments, etc without logging in?

A good example of a service that has this feature is: https://frame.io/features.

We're doing more and more video work and having this feature would be huge for us! We don't want to have to pay for another service.

Hello. I am looking for a way to send documents (or even just text/ info) to a client (who does not have wrike) to get their approval. Basically just a sign off from them on the information that can be sent and captured through Wrike. Is something like this possible? Thanks!

Client Review Not Seeing Internal Comments:

It sounds like a possible option for a client not seeing the internal team comments would be to add a subtask, assign it to the external client (Collaborator), upload the file and assign them as a reviewer. This will keep them communicating in that subtask only, correct?

They would still need to log in. Or view the image from their browser, then reply to the email if they didn't want to get into Wrike. My clients would be daunted and just leave. I'm trying to keep them in email only without ever having to go to Wrike. They barely know how to use email. :)

Hi Team ! 

I would like to know if there is a shortcut through which Wrike allows us to send a link (of a task) to  "collaborators", while the collaborator only sees the task in full screen view. This is specially useful when other tasks in the project isn't relevant to the collaborator and preferred to kept out of view.

Currently, I would have to manually enter 'full screen view' then forward the browser URL to the respective users. Its trivial but this feature would definitely be handy for us. Thanks 😊

Hi Mohammed, happy to see you on the Community and sorry it took a while to reply. I'm not sure I understood you correctly, but when you @mention your Collaborator on a task, he or she will be able to see the task using Inbox, and that's how the task will look:

@mentioning in Wrike makes the task shared with the @mentioned person, but other tasks in the project won't be shared. I hope this helps and please let me know if that's not what you are looking for, I'll be happy to discuss 🙌
