What do Collaborators See?

Collaborators have a more restricted view within the Workspace and we frequently get asked what exactly a Collaborator's Workspace looks like. Check out the screenshots below to find out. 

Tip: It’s easier to remember what a Collaborator can do vs. what they can’t. Collaborators can: change a task’s status, add comments, view existing Custom Fields, add and delete file attachments, and submit Request forms. Collaborators can’t: create new Tasks, Folders, or Projects, or edit the task’s description field.

Collaborators

  1. Have Inbox, My Work, Stream, and a Folder tree, but they do not have Dashboards or Reports.
  2. Can only see Folders and Projects which are shared with them (same applies to all Wrike users).
  3. Can see the List, Table, and Timeline views, but no additional views.
  4. Can change a task’s status.
  5. Can see (but not edit) a task’s description field.
  6. Can add comments.

For comparison, here is what a Regular User would see when logged into the Workspace.

Regular Users

  1. See all available Global Views (Inbox, Reports, etc).
  2. Have access to all available views (Table, Timeline, etc).
  3. Can create new tasks.
  4. Can add a task to Folders or Projects.
  5. Can view and edit a task's description field.

@Vivek Collaborators can't create, edit, or fill in Custom Fields.

Thx. Sorry one more question as the screenshots in the link have no custom fields: Can a collaborator view a custom field?

@Vivek, Yes, they can view the Field and values in it, but can't edit them, or add a new Field. I'll be happy to answer all the questions you have about Wrike 🙂

Is it possible to hide time log entries from Collaborators? As it is right now they are not allowed to make entries, but when a regular user makes an entry on a task the Collaborator has access to it shows *Carlos worked for 30 minutes* in the task feed.

We add our Clients as Collaborators, but don't think it's professional for them to see our time logs so if there is a way to disable that it would be much appreciated. If it is not, could it be added to future update?

Collaborators are not able to see the Timelog View and they don't see the time tracking icon at the top of the task, but they are able to see who tracked time in the Activity Stream. Would it be possible to have separate Projects/Folders that aren't shared with Collaborators? 😊

how do I hide the green plus sign from my collaborators? we have a specific process for submitting request forms using the bookmark links and I still have collaborators using it accidentally

It currently isn't possible to hide the green plus sign from collaborators. I would recommend creating a post in the Product Feedback section. This way, other Community members will be able to share their support for this, and your feedback will be shared with the Product team.

Hello!

Could you tell me can I share only a subtask with collaborators? What happens once the subtask is shared with collaborators - can they see and edit only the subtask that I've shared with them or do they get the to see all other subtasks (in that task)?

Hi Tamara Mikac, and welcome to the Community!

When you share a Subtask with someone, they do not automatically get access to the parent Task, Folder, or Project. So you can share a Subtask and they will only be able to see what you've shared with them. If you're interested in reading more about sharing, I'd recommend checking out this Help Centre article.
