[From Wrike] Map User Question in Request Forms to User Custom Fields ๐Ÿ—บ๏ธ

Hi everyone!

Today, weโ€™re happy to announce a small but exciting update for our request forms - you can now map user types of questions to user custom fields ๐Ÿ”ฅ

Before, only 'Assignees' and 'Owners' system fields were available for mapping. Now, any user type of questions in your request forms can be mapped to user type custom fields.

We know that this is an update many of you have been waiting for! And weโ€™re happy to say that weโ€™ll continue announcing useful enhancements for Wrikeโ€™s request forms soon, so please stay tuned ๐Ÿคฉ

Lisa Can you explain User Types. We have always mapped custom fields in our request forms, so I am trying to understand the improvement.

Kevin Thalacker Sure! In request forms, there's a type of question called User. You can use it for internal forms where the person filling in the request can add a person (for example, their manager or supervisor). There are also People custom fields that can be used for adding internal staff names to the fields. Before this update, it was only possible to map the User type of question in request forms to the assignee field of a task or as a project owner (when the request is submitted). Now, it's possible to map the answer to that User question to the People custom field (and not only to Assignee or Owner). Does this help?ย

While our company will not be able to utilize this feature right away (other projects in the pipeline), here are some ways I could think of to use the custom user mapping:

  1. External Contractors: For organizations that frequently work with external contractors or consultants, this feature can be useful. You can map the contractor to a specific custom field. This ensures that the contractor's information is easily accessible and they are accounted for in relevant tasks or projects.

  2. Cross-Functional Teams: In organizations where individuals from different teams come together for specific projects, you can map different roles (like project lead, QA lead, etc.) from the request form to the task/project. This way, each role is automatically assigned when a new task/project is initiated.

Actual usefulness of this new feature really depends on the way your organization uses Wrike. The real advantage here is the added flexibility and automation which can save time and reduce errors.

Hi Lisa, When I try to select the Custom Fields, I get a note to: "Select Use Custom Fields as options".

Can you show where I should go to make that selection?

EDIT: I think I found the issue; leaving this as reference for others. for context, this was a single select question on a form which was already filled out with options and automations. in order to map the answer to the custom field, I had to make a new single select question and before I populated the answers, "Use Custom Fields" was an option to populate the available answers.

I assume it's set-up this way because there's a feature in Wrike (i read about in a separate article) where if the custom field's options are updated, it'll automatically update the forms' options as well.

It would be nice to know if there's a way to back into these mappings with existing forms that already have the options and automations, without basically recreating the forms...
