[Status: Launched ๐] Request Forms - Auto update of mapped custom fields.
Currently if we update any custom fields which are used in request forms the request form isn't updated until admin goes into each request form and clicks update link.
please can you change this to auto update the request forms, or give option on modifying custom field which is mapped to "update all request forms".
ย
Hi Paul! The current logic prevents making changes to Request forms from outside the builder, but I definitely see how what you're describing is an exception. I'll make sure to raise this with our Product Team!
@Paul, just wanted to learn a bit more about your use case as well (it'll really help pass the feedback to the team). Do you often make changes to Custom Fields which are connected to Requests? Is the field edited by the same people who manage the Request forms? Would love to learn as much as possible to understand the situation better!
Hi Anastasia,
Yes I am updating the request forms regularly.
This includes a list of customers, which we have many of.
I would like to be able to use this more, for example a project list.
Currently for each request we complete Enquiry Number, Customer, Job Name. This can have errors as the person filling in has to put the right information in all three fields every time.
If they were able pick from the list and it would have all the correct information in one string i.e. "Enquiry No - Customer - Job", fewer errors and faster.
Regards
Paul
Hey, Paul! I might have lost the main idea here. I feel like you're updating the values of certain Custom Fields in the Workspace, but then users still enter their own value (instead if selecting pre-defined ones). Just want to make sure I'm getting this 100% right! Let me know if you'd like to jump on a call to discuss this in some more detail, I'll be happy to do so!ย ๐
Hi Anastasia,
I have created custom fields, with selection list.
I have then used these custom fields in request forms and use the custom field to assign user or add to folder, or populate another custom field
When I add another selection to the custom field list in the table view, I have to remember what request forms I have used that custom field in, edit each request form and click the update button in the request form. if I don't, Wrike will not automatically update the the request form.
It seems to me that If I edit the source custom field list, that where ever the custom field in any request form it should auto update, so next time someone open the request form it includes the values I added.
hopefully this makes sense.
ย
There are other community requests for a custom field manager, I think that would be a good idea in the custom field manager perhaps it could be done through that.
Yes, please make it auto-update! We have about 15-20 request forms so this is tedious!
This would simplify my job a great deal while we are getting this thing implemented. During this time the custom fields are being changed quite frequently and that means that I have to update the request forms a few times a day/week.
Agree with the need for this feature. We use custom fields for locations and as we continue to add locations it would be great that the request forms are updated automatically as each location is added/edited.
Add another vote for this requirement.
We would like to use a custom field with active project codes synchronized daily from another platform.
This list changes frequently and it is not practical to make someone continually refresh the request form.
We need this capability as well. We use four questions in the request forms to automate our task names: customer, year, season and short descriptions. Our task names end up looking something like "BELK - 2020 - summer - planogram".
These four questions are standard across multiple request forms so when a new customer is added, I have to go into each request, add the customer and map that answer to that customer's new folder. This is not only tedious but makes it almost impossible to keep the selections consistent from request to request.
Also looking for this functionality. We have a few dozen forms that rely on a multiple custom fields. Each time we update any of the custom fields, we have to go through each and every form to update manually.ย
It would be greatly helpful to have this update automatically on each, or have a button to push the update through to all.
We could definitely use this functionality as well, but what might work better is setting up the request forms to use "modular" questions. For instance, I have to start each new request form from a draft I set up with our 40+ spaces in order to select where a project will be house. Each time we add a new space, I have to update the draft blueprint and remember to update all of the other forms. If we were able to set up one module question for "Space" which I could then just pull into a form, all I would need to do is update the one module each time a space/folder is added.ย
Furthermore, this could save SO much time creating forms if I could condensed it in the editor (or by pulling it in at the end). Our "Space" drop-down options take up most of the real estate in the editor when creating forms, making it cumbersome at times to navigate.
Upvoted.
Every time we add a new customer to our customers custom field we have to manually update 10 different request forms and some with multiple customer lists because we want custom name in both task title and task description.
.. and a bit worse and far more tedious is updating all the request form locations where we pull a customer name from custom fields and use it for e.g. task title; since we do not get an update option on the request form for these lists.
Only option here is to reattach the custom field as input on the dropdown list which updates the list and afterwards tell the dropdown to store as task title manually.
We absolutely love the power of request forms in general and the idea behind this feature and use it for a ton of internal and external workflows .. but it's applicabilities it's getting dated pretty fast with no real useable request form product updates available.
Strongly support to have this function.
I also strongly support the request. I even would go a step further and suggest to have an opportunity to trigger the fresh with an API call. e.g.
ย
[GET] /requestformsย โ Get all reports for current account with there name and permalink
[GET] /requestforms/{requestFormId}ย โ Get a single reports for current account and optionally trigger an update of all selection values
ย
A call to the function could deliver the titles and permalinks to call them (e.g. to embed them as a list it into a client intranet page). A parameter "refreshlistvalues=true" of the second call could trigger the update of all custom field based values of the request form.
Use Case behind: We want to build request forms which need a value selection based on existing information outside and we will need to update the customfield values via API calls anyhow. So the refresh of the corresponding request form via API would just a natural fit.
Hey everyone, thank you for all of your feedback and use cases! It's been passed on to our Product team. I don't have an update for you at the moment, but when I have one, I'll let you know.
This would be a great feature to add. We are making extensive use of request forms and we are considering managing certain custom fields via the API. But as it stands even with an API integration we still require an admin to manually edit and save each request form that contains a reference to the updated custom field.
I'm looking forward to Wrike adding this feature to their roadmap.
Hi Rondo Lehner, thank you for this feedback! It's been passed on to the Product team.
I've also made this request to the Product Team via Wrike Support. Discussed it again today with my Customer Success Manager. Really hoping to hear back, this would be a huge improvement for us!
Fully agree with the API functionality as well. Maybe that could be the Product Team's work around for now if they made that available for us?
Hey Soraya Jung, thank you for sharing your input here!
There are currently no plans to add this suggestion to the short-term roadmap. If there are any changes here, I'll be sure to let you know.
I strongly support this request! It's kinda hard to see that such evident features take years to process...
Hello! Just wanted to emphasize again how tedious manually updating the request forms is when a custom field is updated which is mapped to the form. Still causing a lot of human error for us internally.ย
Alternatively, could we at least get a Wrike Bot message notifying us when a request form isn't in sync with some of the fields it maps to?ย
Anything would help!!
Thank you :)
Thanks for sharing more feedback on this topic here Soraya Jung! I've just checked with the Product team, and it looks like they're now in the process of discussing the possibility of working on syncing the updated fields with the requests. I'll let you know when I know moreย ๐

Here's hoping they can get past 'discussing the possibility of working on' this sorely needed feature - and actually make it happen this time around !!
Another re-upvote from a long suffering and increasingly frustrated customer team in pain for getting this accomplished ASAP !!
Thank you so much for your continued support here Mike Eggermann! I'm very sorry to hear this is causing an issue!ย

Its been said that "gratitude is an action word".
How about instead of just saying thanks, we get some action on this?
API, configuration - doesn't matter as long as we can free our users from the tedium and repetition of having to tell Wrike to use current data EVERY DAY !!!
Please!
Hi Mike Eggermann,ย we've spoken to the team on this request and unfortunately, there are no plans for this in the near future.ย

The need for an admin to update every form any time a custom field is edited prevents us from using this feature to its fullest extent.ย It severely limits the agility with which we want to use Wrike Forms.
Welcome to the Community, Jennifer Cheng! ๐

Has there been any update on this? This feature would be incredibly useful!
Right now, our agency uses custom fields to house clients, and map their projects to their folders with an automation. Having to also manually refresh all the request fields is extremely tedious and unintuitive.
