Weโ€™re continuing our Use Cases series and are hoping these posts help you get familiar with Wrikeโ€™s pre-built templates. Today, letโ€™s talk about Services Scoping and Initiation. Weโ€™ll walk you through this templateโ€™s content, where to find it, and how to use it, from capturing scoping information to reporting on leads won or lost.ย

  • Functionality used: Folders, projects, tasks, a template, custom fields, a request form, a custom workflow, dashboards, a calendar, and a report.
  • Whatโ€™s inside: Folders for lost, won, and ongoing scoping projects, a template folder; two dashboards -ย  โ€˜PS Scoping Action Itemsโ€™, and โ€˜PS Scoping Statusesโ€™; a โ€˜PS Sales Scoping Calendarโ€™, a โ€˜PS Scopingโ€™ report.

Services Scoping and Initiation

The three main folders here are โ€˜Closed Lostโ€™, โ€˜Closed Wonโ€™, and โ€˜Ongoing scopingโ€™. These folders contain sample projects that represent a customer.ย 

The pre-built โ€˜PS Sales Scoping Requestโ€™ populates the โ€˜Ongoing Scopingโ€™ folder with a new project and captures all necessary client and scoping information.ย 

The request form uses a pre-made sample project. You can check out the project in your main folder tree, in the folder called โ€˜Z. Templateโ€™. The project contains sample tasks that represent a typical scoping flow, like reviewing RFP (request for proposal) or RFI (request for information), drafting an SOW (statement of work), etc.ย 

The projects in this template will contain pre-built custom fields to capture important data like customer ID, estimated contract value, opportunity type, etc.ย 

The client projects here use a pre-built custom workflow - โ€˜PS Sales Scoping Workflowโ€™ - with statuses representing an example of a typical flow for services scoping.ย 

The tools section includes two dashboards: โ€˜PS Scoping Action Itemsโ€™, and โ€˜PS Scoping Statusesโ€™; a โ€˜PS Sales Scoping Calendarโ€™, and a โ€˜PS Scopingโ€™ report. These tools can help you successfully plan, track, deliver and report on your services scoping projects and activities.ย

We actually utilize CRM for our sales / services. Our team wouldn't utilize this template however great concept and could see where others could definitely use it!

We already use a CRM for this. I see how this could be useful, but we wouldn't want to have to onboard another 20-30 people just for this functionality.
