We are back with another use case discussion ๐ฅณ Today, weโd like to walk you through using Wrike to capture client contacts.ย
- Use Case: Client Contact List.
- Can be used by: Any customer-facing team.
- How to launch: From the space creation dialogue.
- Functionality used: Folders, tasks, custom fields, reports, a request form.
- Whatโs inside: The main folder is populated by request forms as well as two reports for tracking contacts.ย

Client Contact List
The main highlight of this use case template is the set of pre-made custom fields that helps you gather and track all important client information.ย
In order for that data to be populated, there is also a pre-set request form that needs to be filled out for each contact.ย
There is one main folder where all request-generated tasks are stored. It is set to show you the info in Table view.ย
This template also comes with two custom reports that can help you track all or primary contacts.ย
Please note that this template can be accessed by Account Owners and Admins ๐

thank you very much for bringing up this use case!
We'd really love to use Wrike in this manner, but we're wondering how to deal with data privacy issues. Is it possible to clean the content of custom fileds permanently, without having those history entries?

We use a CRM at work, but for a personal project, this is exactly what I need.ย
Very interesting Lisa. We use a custom functionality in our Intranet for storing client information as contacts and specially sensitive information like social media logins. I never considered moving this to Wrike but now I might give a shot.

Like Neyl Walecki said, we also use a Intranet for all our stakeholders and can easily search using it, MS Teams, or Outlook.
I can see how this is helpful for those that outsource or do access these lists quite frequently.

We are using other software for it. But we would also not to be allowed to use Wrike for it for data protection reasons. That discussed our IT and Compliance already with Wrike.

I am not using Wrike to capture client contacts. Great to know this capability is available!
Love this use case!!ย This could be very helpful for our client teams!!
We already have a CRM team that manages all of this, and they are not on wrike. However, my team may have a use for this type of template, but we would need to look at the above addressed issues first before doing so.
Our company has a CRM to manage client information. Internally we use a similar template to manage our program stakeholders in a similar fashion. We use a form for the group to add a new person to the program (which helps us with onboarding) and the same form when a person is leaving the program.
We currently use Microsoft CRM for our client contacts but this could be a great resource for our vendor contacts or current project contacts. This would also be perfect if we eventually build the connection to CRM.

We use a different software for this in our company, but something like this might help with a community service day sign up sheet/address for mailing stuff to people. It would have to be a locked space though.ย

Lisa, I just created a new space using this template and have a couple specific questions. I'm listing them here but let me know if I should be submitting a ticket to support or asking these somewhere else.
1. What is the purpose of using numbers as a prefix on all the custom fields (e.g, .01 Company Name, .02 First Name)? Do I need to keep those? If I want to move the fields around or add/delete fields, it seems this will cause extra work.
2. I want to add a custom field to indicate whether this contact is a customer, vendor and/or resource. I assume I'll be able to create custom reports to show me all vendors, etc. correct?
3. I'm not understanding what the string of numbers are referencing in the "Title" column. Can you clarify?

1. If you open the custom field list in Wrike, the fields are listed in alphabetical order. If you need a specific order for them, you can use the numbers, like in this use case template.ย
2. Sure, you can add more custom fields and then use them in reports.
3. Those are the request form numbers - the tasks that represent client contacts are created upon a request form submission.
