[Best Practices] Best Work View for You ๐Ÿ‘“

Hi everyone!ย ๐Ÿ‘‹
ย
We've already discussed a number of features and topics that can help you and your team onboard successfully. Now that we've covered Wrike's building blocks, personal spaces, creating projects with tasks and staying on top of work, it's time to talk about how best to view and manage your work in Wrike.
ย
Among different work views available on the platform, we find that we use these four most frequently:
  • List View
  • Board View
  • Table View
  • Gantt Chart
Below you'll find some insights on when to use each of those work views. Let the Community know if you need advice on which view/combination of views will work best for you depending on the type of work you usually perform - just comment under this postย ๐Ÿ‘
ย
1) The List View is your default way to view tasks unless you change it. This view is a good way to work on tasks: you can see a list of tasks in a project along with a Task View of a particular work item to quickly add/modify the description, task dates, assignees and comments.
ย
ย
After you've worked on the tasks, you can use Mass Editing to quickly edit several tasks at once: change statuses, reschedule tasks and more.
ย
You can also sort your tasks by priority, importance, title, status or date to quickly get to work on particular tasks. Using filters will help you see only the tasks that match your criteria - don't get distracted by the tasks you'll need to work on later!
ย
ย
2) The Board View is the perfect view for people who move at a fast pace. This view is simple, effective, and easy to understand at a glance. With this view, you can quickly change the status of your tasks by dragging and dropping them to different headers. This is a great view for projects in which the status of tasks is your top priority, or where you need to be able to quickly see the task's stage of development.
ย
ย
3) The Table View is a great option for you if you're used to working in a spreadsheet format. Managing projects is easy in this view as you can edit attributes like Project Progress directly in the view. It also allows you to perform roll-ups for project dates which can come in handy when you need to adjust dates on the go.
ย
ย
There's no better place to quickly add and manage Custom Fields and make calculations based on the fields' data than Table View.
ย
So if you need to manage projects or even a portfolio of projects, add and modify Custom Fields and perform calculations, the Table View might be the best work view for you. Apart from directly managing projects, you'll also have easy access to projects' descriptions, tasks, and folders.
ย
4) The Gantt Chart view allows you to quickly make adjustments to the timelines of your projects and tasks and provides an overview of start and due dates. You can view your tasks and projects in the form of a timeline and change their dependencies. These dependencies allow you to visualize the order in which each task should be finished and help you to follow the critical path to see these projects through to completion.
ย
ย ย
ย
You can specify lead time and lag time between tasks to indicate an overlap or a waiting period between tasks being started or completed. You can also implement date constraints within your projects and tasks to ensure your team keeps to the schedule you have set out for them. The Gantt Chart is the perfect view for people whose task dates are the most important piece of information they need to see and easily change.
ย
So, to sum it all up;
  • List View is best for working on a list of tasks, working on tasks one by one, mass editing tasks, and prioritizing tasks.
  • Board View is best for quickly viewing and changing statuses, or to have a simple view with fewer details.
  • Table View is best for working in a spreadsheet format, managing a portfolio of projects, quickly editing project details, or adding custom fields.
  • Gantt Chart is best for quickly viewing and editing project timelines and dependencies, and for viewing critical paths.
ย
And that's it! You'll now be able to know which views suit which projects and tasks, enabling you to the most out of your Wrike experience!

We are constantly in List view! We migrated over from a custom made project management platform to this and the list view has helped our users feel comfortable with their tasks.

I am also transferring projects we have on trello and am going to make the default view the kanban board to help users feel comfortable transitioning everything to Wrike.

List view for me, for my team I'd like board view as I feel it would present the data better. But time will tell.

Lisaย my team seems to prefer list view. The Mass Edit function is great, and list view is less overwhelming to most people.ย

Glad I found this article! Was thinking about creating a similar resource for my team, but now I know I can just send them this way.ย
