[From Wrike] Automation Actions: Create Items and Subitems ๐Ÿš€

Today, we are very excited to share the latest update for Wrikeโ€™s Automation: you can now create new items & subitems as automated actions!ย 

How it works

The list of available actions for those who have the right to create automation rules now includes two new options:

  • Create item
  • Create subitem

The Create item option will, as the title says, create a new item when the automation rule is triggered. You can specify the item type, its name and description, as well as the location where it will be created.ย 

Usage example: When the project is Completed โ†’ Create folder โ€œNext project phaseโ€

The Create subitem option creates a subitem for the items that the rule applies to. You can specify the name and description of the created subitem and its type. Please note that the item type selection can be limited by the scope of the rule (e.g. project/folder can't be a subitem for a task.)

Usage example: When the status is changed to โ€œReview requiredโ€ โ†’ Create the โ€œReviewโ€ subitem.

When you create a rule in the Account Management section, you can create tasks, projects, and custom item types. If youโ€™re creating a space-level automation rule, youโ€™ll be able to create tasks, projects, folders, and both account-level and space-level custom item types.

Our new Team plan will receive this update in the coming weeks too ๐Ÿ™‚

Nice, but how can I make an item in the same location as the triggering item? So. I monitor a hole space and a task in a project is closed (in a specific status). I want to make automated a follow up task in the same location as the triggering task.

Similar question: How can I copy the name of the triggering task and add a suffix for the new task?

How can I copy the description of the triggering task to the new one?

How can I add an assignee to the new task (the one how changed the trigger task into this status)?

The problem for the add another action button: this always reffers to the triggering task. I would like to use the additional actions for the new tasks.

Definitely a step in the right direction! Is it in the roadmap to specify who the task is assigned to, or to create the subitem from a blueprint?

I have an automation that marks a project complete and tags me, but I'd like to go one step further and add a task (assigned to me) to initiate the project closeout process.

I can't think of how this new feature will be useful for us without the ability to use a blueprint when creating a new item, but hopefully that functionality will be added in the future! Nice to see the excitement from others as it sounds like it will be helpful for some folks. :)ย

Great news. Any movement on Sven's idea? Found this thread searching for how to create an item in the same location as the item the automation is acting on.

I have a few use cases, but one is a replacement for recurring tasks. Right now, I can have a task recur monthly for example. But if they don't get done, they can start to stack up. Alternatively, I'd love to be able to have a custom item type called, for example, "Recurring - Monthly" with a custom automation rule that, upon completion, simply duplicates the task in the same location, sets it as new, and gives it an expiration day 30 days out. Now it only creates the next task once the current task is complete.

Thank you. Is there a current way to achieve this in Wrike not using automation rules?

Instead of creating a monthly recurring task, which stack up, can I just set up a task that, upon its completion, creates a copy of itself with a new due date X days out?

I'm quite new here, discovering Wrike... And the comments of Sven are precisely what I am missing now to make the most of this automation! I'd like to be able to manipulate the newly created task, using in particular information from the triggering task (like reuse the name, reuse the assignee, reuse the dates, etc.)

Thanks for your feedback.

In a nutshell, I want to be able to create a sub item in automation, and subsequently modify/amend the created sub-item, based on the initial item informations.

For instance, I have in my project a card to release a new feature on my product: the item "dashboard". When the task status goes from "plan" to "sprint", it should launch the development. For that, I want to create a task that would be named "develop dashboard" (hence named using the name of the triggering task) and would be duplicated in two locations (the board for the "product manager" and the board for the "developers"), so I need to change values of my newly created task, not only create it.

Unfortunately, it seems like automation cannot be chained (like I cannot create an automation which would react to the creation of the item), which was my first attempt...

How can I add an assignee to the new task (the one how changed the trigger task into this status)?

The above comment that was already mentioned seems most pertinent to me.ย  If you are creating a new sub-item, it is of limited value unless that item is assigned to someone and potentially has a due date.ย  Or else it's just an item floating out there with no assignee and no deadline?ย  I might be missing something which can already be completed some other way.

Lisa Is it possible to automate the creation of a parent task or project? I have a blueprint for a support ticket and a request form that creates a task using that blueprint. Because we would like to be able to make comments on the ticket that the ticket creator can't see, we need to put the ticket into a parent.

request form > task created > parent of task created

Hi Jen Loomis, thank you for your question. In that case, you could use the rule to add the task to the relevant location (by location I mean project, Space or folder).

As trigger, you'd need to use New item created and as action Change location > Add to specific/Move to.

Could this option work for you?
