Your account admin can turn on Calendars from Wrike Labs. You can findย outย how to create Calendars on the Help Center butย below I've shared some examples to get you thinking about how you can get theย mostย from them.ย Our team has beenย thinking of some Calendar ideas and we're excited to hear the types of Calendars you're creating so please comment below!ย

Team Calendar(s)

This Calendar is for you if: your team works out of the same Folders/Projects and you want to increase visibility around what is being worked on. If your team has multiple areas that they're responsible for, it is worth creatingย separateย Calendarsย for each area of responsibilityย so you can choose to view each area together or separately.ย 
ย 
Use this Calendar to: see what tasks your team has completed, monitor what work is upcoming, schedule tasks so that one day/week isn't too overloaded.ย 
ย 
Create a new Calendar and apply the following settings:
ย 
  1. Calendar type: Smartย 
  2. Calendar name: [Team Name]
  3. Include tasks from: the Folder(s)/Project(s) where your team's tasks are located.ย 
  4. Filtersย 
  5. Status: Active and Completedย 
  6. Assignee: Specify team members if you frequently have tasks in this Folder which are assigned to people who aren't on your immediate team (and if you don't want to see those tasks).
  7. Task Type: Check milestone if all of your release tasks are milestones.
  8. Task Duration to display: Full duration (this will let you better monitor workload and when things are going to be worked on).ย 
This is a teamย Calendar, so don't forget toย share it.ย

Personal Calendar
ย 
This Calendar is for you if: you have tasks assigned to you across different Folders/Projects, you want to be able to track (or remember) certain tasks, filters don't help narrow down the tasks you want to track.ย 
ย 
Use this Calendar to: keep an eye on certain tasks you need to complete or which you are involved with on some level and want to monitor.ย 
ย 
Create a new Calendar and apply the following settings:
ย 
  1. Calendar type: Classic
  2. Calendar name: Tasks to Monitor (feel free to mix-it-up).
  3. Task Duration to display: Use "full duration" if you want to see when something is scheduled for or "end date" if you only want to see when something is due.
ย 
Now, startย adding tasks to your Calendar.ย 
ย 
Release orย Eventย Calendarย 
ย 
This Calendar is for you if: tasks forย releases/eventsย are in the same Folder/Project.ย 
ย 
Use this Calendar to: see whatย is planned and when it's planned for. Also use it to lookย back at what items have been completed or released.
ย 
Create a new Calendar and apply the following settings:
ย 
  1. Calendar type: Smartย 
  2. Calendar name: Release/Eventย Calendar (this is just a suggestion folks).
  3. Include tasks from the Folder/Project where your release/eventย tasks are stored (check "Include tasks from Subfolders" if release tasks also live in Subfolders).
  4. Filtersย 
  5. Status: Active and Completedย 
  6. Task Type: Check milestone if all of your release/eventsย tasks are milestones.
  7. Task Duration to display: End date (this should be the date that the feature is actually released).ย

Hi Heather, Calendars have been released for Android already. We're currently working on an iOS release for Apple devices. No date for release right now but you'll hear about it here once it's availableย ๐Ÿ‘

Calendars are awesome and helpful! One thing we need them for is tracking vacations etc. . Is there any way to automatically have time away entered in users' profile calendars create/link to a custom shared calendar? Right now users are doing double data entry and I'd like to skip that if possible.ย

Calendars have been extremely helpful for our team so far! One thing we've noted is it would be great if those thatย have shared access to a calendarย are able to add tasks to that calendar - or switch tasks from one calendar to another. As the owner, I am able to add/switch tasks, but those that I've shared the calendar with can only view (using classic calendars, by the way). I can see how that could get tricky with too many hands on it, but perhaps adding an option that can assign people various access levels when sharing (i.e. admin, editor, view only, etc.).ย

Any development of a time associated with calendars? It would be great to use this calendar for internal meetings set on WRIKE as a task (which also would need a โ€œSet Timeโ€ feature) along with various other tasks that are time specific. Thanks!

I have loved the calendar feature since it was released in beta BUT the one issue I seem to run into is sharing that calendar in Teams. We don't want to fully integrate to Teams in this instance, so that solution doesn't work here. We want to share the calendar as a tab within a channel. When we add it in teams as a website, it just sits on the Wrike logo spinning as though it's trying to load. We can Click the "If your site isn't loading correctly, click here" option and then launch to a new tab but would much prefer if the calendar was visible right in the teams window. I'm not sure if this is a Wrike issue or a Teams issue, but would be SUPER if it worked!ย

The calendars are great but if I want to use them with external people e.g. to share a registration link for an upcoming event, I used to do this in the description. The description is though not visible for non Wrike users. It would be great if there would be a field in the Wrike task/milestone that goes into the calendar, where such public information could be added. For the external person, e.g. a customer, this information would be visible by a pop up window when scrolling over the calendar entry or something similar.

I agree with Anna-Maria! If there were a way to shareย important notes on the task, so that when a user hovers overย in the calendar they are able to view them it would make the calendar sharing much more efficient.ย

As someone already mentioned we are missing one key feature in the calendar and thatยดs the possibility toย useย custom fields (dates)ย instead ofย "Project duration to display". We have 3 key dates on almost all tasks. If we could have 3 calendars showing each of these 3 dates that would be so great. Is there a way to achieve this today or something that is in the roadmap?ย

Some few other suggestions for the Calendar View:

  • Ability to select the timeframe for calendar view by selecting start and end dates
  • When sharing the external link of a calendar, it would be great if our workspace logo showed up at the top rather than the Wrike logo. Similar to the look of Report snapshots.

@Adam - this is an interesting idea around Custom Field dates. I don't have any information about this right now, but you've shared your interest in this in the right place. Currently, you can't filter by Custom Field data.

@Jennifer - About the first part - you mean specify date to date rather than Month, Weekly, Quarterly, and yearly? I think I understand why; project roll over from month to month etc. but it would be great to hear a use case for this ๐Ÿ‘

Correct, Stephen. It is when there is project rollover. Any ideas if my previous request would be implemented? It would be great to share public details on external links which also could include a hyperlink to assets that should be shared with the task/project.ย

Hi Jennifer, there has been no decision about enhancements to the Calendar right now but I've passed this thread to the Product Manager for this. He loves feedback! It makes sense, and the PM agreed so when it's been reviewed for the roadmap it will be discussed and I'll have an update then ๐Ÿ‘

Hello, is that possible to create a task in the calendar with a specific hour and duration ? We would like to stop using outlook to manage our schedule but wrike is not as much precise as outlook on that point. It could be usefull to create meetings too.

Hi Camille, this is not possible inย Calendars right now but great idea, so thank you for sharing. I think what might help here is the iCalendar feed in Wrike where you can add a Wrike task to Outlook. Have you checked this out as an option yet?

Thank you Stephen, yes i tried this solution but tasks are programmed for a day long and i wish to programm just for a certain duration like a meeting... I hope this idea will be kept

And if the calendar can take into account the agenda of the profile (holidays...) it would be perfect !

Another suggestion, reiterating what @Adam suggested. It would be great to use custom field dates to show in the calendar. Similar to how the service Airtable allows you to use it.ย

I really like this idea folks, I can already think how I'd use it, so I guess lots of people will see a benefit from choosing dateย Custom Fields to base Calendars. Speaking with the PM team, there are no plans to review new enhancements to Calendars right now, but they're very thankful for the feedback and suggestions here so they can refer to when they're planning on adding features. We have been using Wrike for the past month and LOVE everything about it. There is just one very important piece missing from the IOS app... Calendars. My team of photographers work offsite and need to be able to access the calendar function from their phones. Once this feature is added then the app will literally suit every need of ours. Until then we are trying to figure out what to do about our mobile users.ย

The team are working towards having Calendars on iOS, it's a work in progress.

For now, I think Dashboards might be a helpful visualization of your work. Have you tried this on iOS? Happy to run through some Dashboard widgets you can leverage for now ๐Ÿ‘

Hi, I think the new Calendar features are great.. thank you! Could I ask for something more? I'd like to be able to attach some documentation... maybe just a description field that would explain to other users the intent of a specific calendar and the method/selection criteria that something would show on it. IE: I created global Campus Calendar. Each Department has a Layer so I would like to explain how they can tag the Tasks they want to show in their layer and subsequently in the global calendar.
