In early September, we announced the Labs release of the New Calendar View, a newย Wrike Viewย that allows you to quickly display your work items on a timeline to track what needs to be worked on and when. In the last two months, our Product team has been focused on improving the Calendar view even more.

Thank you to everyone for continuously helping us improve the new features by trying out the Labs version and sharing your feedback with our Product team. Today we are happy to share that Calendar View is available in all accounts starting from Business (or Business Plus) plans โจ

Before diving into the Calendar View features we'd like to give an overview of Calendars vs. Calendar View and when to use which feature.

Calendars vs. Calendar View โ๏ธ

Calendars are designed and best used for high-level, multi-source, program-level use cases. Try Wrike Calendars if you...
- Are a program lead, project lead, or high-level manager tracking multiple projects or campaigns
- Have multiple and specific sources that you'd like your calendar to pull information from
- Have multiple folders, spaces, or projects that areย notย nested under a singular parent source (like a space or project)
- Often print calendars
- Need to hide and display multiple calendars at the same time
- Have a complex setup that needs to be organized in customized "layers" in different colors to help represent the chosen variables, such as sources or filters
Calendar View is a better choice for use cases and needs focusing on a project-level or single location (project, folder, space) overview. Try the Calendar View if you...
- Are a project coordinator or manager, program coordinator, or for tracking single projects or campaigns
- Have a single source that you'd like to have an overview of
- Work on a single complex project and like to take advantage of a customized view
- Need to track the status and overlaps of items without action across a particular project, folder, or space level
- Are often switching views between Table, Gantt, or Board and would like to have a birds-eye view
Now, let's explore how we can make the best out of the Calendar View!

๐ Add a Calendar View in your Space, Project, or Folder
ย
You can now add a Calendar view to any of the locations in your account such as Spaces, Projects, or Folders, and switch between the views at any time. If you prefer having a high-level look at your tasks and how they are distributed over a week/month/quarter/year you can choose to set the Calendar View as your default view for this location and even create custom views from it.

๐ View, Create, and Reschedule
ย
Calendar View now allows you to view, create and reschedule any type of work item such as task, project, or custom item type on the week, month, quarter, or year view.

Create a new item by just clicking on a date, it will automatically schedule for 1-day on weekly and monthly zooms by default, a full working week on a quarterly zoom, and a full month's duration on the yearly zoom.

Using the simple drag and drop it's now easy to reschedule the item to the new date. To reschedule an item on the view, click and hold it and then drag it to the relevant dates. If you need to change the item's duration, hover over its left or right side so that your mouse turns into an arrow, then click and drag the side of the bar to the relevant date.

You can hover over a work item to see details like the status, start and due date, project or folder the item is under, and the assignee(s). It's even possible to remove an assignee from the window that appears when you hover over it.

Apply any filter to your Calendar View to see what's important for you to track in your projects, folders, and/or tasks.

Display or hide the subitems and week numbers from the three-dot menu using the week, month, or quarter zoom. In addition to that, you can hide or display the weekends on the month or week view.

Create Custom Calendar Views
ย
You can duplicate your Calendar View to create a custom view in your preferred way that will help you make decisions on what needs to be added or rescheduled in the current tasks or projects. Custom Calendar View also gives you the advantage of configuring different angles to work more efficiently on a single complex project.

To give an example, if I'm a team lead and plan my team's work monthly, I'd use the monthly zoom option and apply filters. I'd select the team members as assignees since the projects can be a cross-functional effort and other tasks from members that aren't in my team can show on the calendar view. I'm also mostly concerned about project progress and tasks with statuses "Needs More Info" and "Waiting on Others" so I can support my team when it's needed. It's also a private view so I don't clutter the project/space views.
ย ย ๐ Share Public Links
ย
If you are working with external stakeholders it's now easy to share an external link to your calendar! You can create a link to the Calendar view and share it with people outside of Wrike. Anyone with the link will have an up-to-date view of all work items that were displayed on the view at the time you created the link.
